Role Overview
The role holder will carry out a range of administration and scheduling tasks in the Operations team, working closely to schedule our internal self-delivery team to ensure a consistently high level of service. They will provide a professional focused service representing the Company to a wide range of clients in NI, ROI and mainland UK.
What you'll do
- Work closely with the wider operational teams and Service Delivery team to ensure that a high-quality service is provided to all clients, including meeting KPI targets by ensuring efficient scheduling and completion of PPM and reactive works.
- Look for efficiencies and take a pro-active approach to task scheduling.
- Strong working relationship with the Service Delivery Manager, Account Leads and Contract Admin staff.
- Working as part of the delivery team to maintain and update various management systems with data information on internal self-delivery works.
- Handling initial internal self-delivery queries, including raising PO requisitions, uploading holiday requests and other day to day running tasks.
- Retrieving data from company information management systems.
- Inputting data to information management systems and client systems.
- Working with Operations teams on processes and procedures.
- Validate and report on time record management for internal self-delivery team.
- To update and maintain the Company’s CAFM and document management systems.
- To assist with other duties as may be required from time to time depending on the needs of the business.

Essential Criteria
- Previous experience working in an administration / scheduling role.
- Experience working with Information Management Systems.
- Excellent organisational and time management skills.
- Excellent telephone technique and communication skills.
- Excellent IT skills including a proficiency in MS packages and web-based systems.
- Excellent attention to detail.
- Excellent Customer Services skills.
- Have the ability to work effectively as part of a team in a fast moving and dynamic environment.
Desirable Criteria
- Experience working within Facilities Management.

- Customer understanding: Must demonstrate a good understanding of the requirements of customers in respect of the provision of Asset Management Services.
- Communication: Must possess the ability to communicate effectively both oral and written with staff, customers and suppliers at all levels.
