Overview
As a key leader in the payroll function, will oversee multi-country payroll operations, manage a growing payroll team, ensure compliance with local regulations, and act as the bridge between Payroll, HR, and Finance.
Responsibilities
Payroll Operations & Compliance
- Oversee and manage end-to-end payroll processing across multiple EMEA countries, including Poland, UK, Dubai and Estonia ensuring accuracy, timeliness, and compliance.
- Ensure payroll operations adhere to local labour laws, tax regulations, and statutory requirements across jurisdictions, particularly in the UK, Poland, Estonia, and Dubai.
- Act as the primary point of contact for payroll-related escalations, troubleshooting payroll discrepancies and errors efficiently.
- Continuously monitor, review, and update payroll processes to enhance accuracy, efficiency, and compliance.
- Work closely with external payroll providers, ensuring service levels are met and issues are resolved promptly.
- Ensure timely and accurate filing of tax, social security, and pension contributions in each country.
- Lead payroll audits and compliance checks, ensuring all payroll-related data is processed in line with GDPR and company policies.
People & Team Leadership
- Directly manage a team of two payroll analysts (UK and EST) and provide a dotted-line leadership to the EMEA HR Services & Payroll Lead.
- Support hiring, onboarding, and training of new payroll team members, ensuring a high level of expertise within the team.
- Foster a collaborative and high-performance culture, ensuring the team stays updated on payroll regulations, system improvements, and process efficiencies.
Collaboration & Stakeholder Management
- Work closely with HR Business Partners (HRBPs) to ensure payroll integrates seamlessly with HR functions, capturing exceptional transactions accurately.
- Partner with the Finance Team to ensure payroll data is aligned for reporting, forecasting, and budgeting, including cost centre allocations.
- Collaborate with regional payroll managers in APAC and the US to align global payroll practices, share best practices, and improve payroll operations worldwide.
- Provide clear and timely payroll reporting to senior management, identifying trends and areas for improvement.
- Work closely with the EMEA Benefits Manager to ensure accurate and timely processing of benefits-related payroll deductions and communications (e.g., pensions, healthcare, stock options).
Process Improvement & Systems Management
- Identify opportunities for automation and efficiency improvements within payroll processes.
- Partner with HRIS and payroll system vendors to enhance payroll technology and reporting capabilities.
- Support system integrations and payroll transitions related to mergers, acquisitions, or expansions in new EMEA locations.
- Implement controls and best practices to improve payroll accuracy, reduce manual errors, and enhance employee experience.
