Job Title: Remote Executive Assistant (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $2,000 USD/month

Schedule: Monday – Friday, 40 hours per week within business hours Eastern Time

Job Overview

Our client is a fast-growing workplace wellness company, seeking a dedicated executive assistant to join their friendly team and support the CEO. The company provides workshops and coaching on various aspects of well-being for law firms and legal teams. They\’ve run programs at Fortune 100 companies, the world\’s top law firms, public defenders’ offices, and many other organizations.

We are seeking a proactive and detail-oriented executive assistant to support the CEO. The ideal candidate is a self-starter who excels at managing daily tasks with minimal oversight, enjoys the challenge of tackling complex projects, loves to learn, and thrives in a remote work environment.

You should be able to think critically, anticipate needs, and offer solutions that improve workflows. Strong organizational skills and the ability to manage multiple tasks without missing deadlines are essential. You will manage the CEO\’s calendar, oversee his email, organize travel, conduct online research, perform administrative tasks, and execute on projects. You’ll need excellent, fluent written and spoken English, with the ability to maintain a warm and approachable tone.

This is a remote/work-from-home position with growth potential. Travel is not required, but having your own set up (laptop/PC plus reliable high-speed internet) is. When you apply, please make sure to write the following sentence on your response: “Attention to detail matters.”

Responsibilities:

  • Calendar management: Schedule and manage calls, meetings, and appointments; keep the calendar organized; make sure the CEO is aware of upcoming deadlines and other important calendar items.
  • Email management: manage the CEO’s inboxes and interact with his contacts via email. The goal is to handle much of his email for him.
  • Briefings: Shepherd the CEO through his day, briefing him daily on his tasks and appointments.
  • Travel arrangements: book and manage the CEO’s travel, handle logistics, learn and apply his travel preferences
  • Other admin tasks: conduct online research, make purchases, manage software subscriptions, etc.
  • Process improvements: stay on the lookout for ways we can improve our workflows to become more effective and efficient
  • Special projects: take the lead on more complex tasks and projects, figuring out solutions and getting things done.

  • Detail-oriented: When you are given instructions, you follow them carefully and in detail. You can keep track of multiple tasks and responsibilities, and you don\’t let things slip through the cracks.
  • Articulate: You write and speak well, in native-level, fluent English. Your writing has a warm, friendly, not-too-formal tone, while remaining professional.
  • Accountable: When you make a mistake — which everyone does — you don\’t hide it or make excuses. You acknowledge the mistake, propose a fix, and treat it as a learning experience.
  • Tech-savvy: You’re comfortable in the digital environment, able to use all the required software tools (see below), and able to learn new, user-friendly software services.
  • AI-savvy: If you don\’t already make extensive use of ChatGPT or Claude, you\’re open to learning how. We can provide some helpful guides.
  • Friendly: You have a warm, friendly demeanor and are pleasant to work with. (We are too!)
Preferred:
  • Experience working as an Executive Assistant and/or Virtual Assistant is preferable but not mandatory.
