Schedule: Monday to Friday, 8:00am to 5:00pm with 1hr lunch break in any major US time zone
Job Overview
Our client is a boutique sales development service provider that partners with niche 10–30 person technology startups to help them build outbound pipelines and analyze market feedback. They act as an extension of their clients’ go-to-market teams, helping them refine messaging, generate pipeline, and understand what the market is saying.
We’re looking for a highly organized, proactive Client Success Assistant to help manage client operations from onboarding through delivery. This role will support the Founder across all stages of the client lifecycle — from proposal and contracting to campaign setup, performance tracking, and ongoing communication. You’ll also help coordinate internal operations, maintain documentation, and ensure nothing falls through the cracks.
Responsibilities
- Client Onboarding & Coordination
- Prepare client onboarding materials (kickoff documents, Slack channels, PhoneBurner setup, contact uploads, Zapier integrations).
- Maintain client records and billing schedules in spreadsheets.
- Organize and update client-specific Slack canvases (overview, study guide, scripts, etc.).
- Proposal, Contract & Billing Support
- Assist in preparing tailored proposals and SOWs based on intro call notes.
- Track contracts through Docusign and manage invoice scheduling via Stripe.
- Monitor payment timelines and renewal dates, updating internal trackers.
- Ongoing Client Success Operations
- Coordinate weekly client call schedules, notes, and follow-ups.
- Monitor live dashboards, ensuring data accuracy and visibility.
- Communicate proactively with internal SDRs and external client teams to keep campaigns running smoothly.
- Internal Support & Marketing Coordination
- Collaborate with our SEO agency and support website content updates.
- Help streamline workflows and document internal processes.
- Provide administrative support as needed across tools like Slack, Notion, Google Workspace, and PhoneBurner.
Qualifications, Skills, and Key Competencies
- Native or near-native English fluency (written and spoken).
- Highly organized, with strong attention to detail and follow-through.
- Comfortable managing multiple tasks across clients and projects.
- Tech-savvy — quick to learn new tools and systems.
- Prior experience in client operations, marketing coordination, or account support preferred.
