Job Overview
Our client is seeking a dedicated and organized Administrative Assistant to support our team in delivering exceptional mental health care services. This role involves working closely with patients, clinicians, and external providers to ensure a seamless process from patient to care delivery. This role also includes working with all prescribers at the practice to help facilitate refills. You will be joining two other clinical coordinators, sharing all responsibilities equally. The ideal candidate is organized, empathetic, detail-oriented, and able to operate independently with a sense of ownership.
Responsibilities
- Administrative/ Medication Refill Duties:
- Build and maintain expertise in EHR systems and other relevant databases, ensuring accurate and HIPAA-compliant patient records.
- Support office operations, including administrative workflows and documentation accuracy.
- Handle medical records requests, insurance documentation, and other administrative tasks to support clinical and operational efficiency.
- Manage patient medication refill requests, including checking emails and voicemails, and setting up refills in Valant and Dr.First/Rcopia for prescriber review.
- Communicate with prescribers and pharmacies to clarify prescription details, verify medication availability, and resolve supply issues.
- Track patient appointments to anticipate and address future refill needs in a timely manner.
Qualifications, Skills and Key Competencies
- Experience in healthcare, behavioral health, or mental health settings preferred.
- Proficiency with electronic health records (EHR) systems; experience with Valant and Dr.First/Rcopia is a plus.
- Ability to handle sensitive information with discretion and confidentiality.
