Due to business expansion, HiQ Tyres & Autocare are recruiting an additional Operations Administrator to join the team in our Birmingham Office. The role is offered on a full-time permanent basis, Monday – Friday 40 hours per week with flexibility regarding hours, with occasional Saturday morning work, which can be done from home. Hybrid working may be available.
The role is to support day-to-day operations and manage a fleet of 4 busy mobile service vans, ensuring smooth operations for customers with a large fleet of cars and vans across the UK. You will also perform admin duties required, work as part of an Admin team and report to the Team Leader. You will work closely with the customer, liaise with vehicle technicians, and handle various operational tasks to ensure efficiency and compliance across all services. Technical/mechanical automotive experience is a prerequisite for this role. Only apply if you have vehicle service and repair, along with tyre knowledge.
What You’ll Do- Mobile Service Van Management: Oversee 4 mobile service vans, scheduling up to 30 jobs a day, including tyre replacements, servicing, and repairs. Receive job orders from the customer and plan work at their premises. Order necessary tyres, parts, and materials for each day’s work. Coordinate with vehicle technicians to ensure jobs are completed efficiently.
- General Operations Administration: Manage uniform, stationery, consumables, and PPE ordering, maintaining adequate stock levels. Oversee WCFMC and BMG lead management, ensuring follow-ups are completed in a timely manner. Coordinate waste collection, scrap sales, and monitor security systems such as alarms and CCTV. Handle office supplies, fuel card distribution, and infrastructure maintenance. Maintain records for vehicle maintenance, MOTs, service schedules, and inspections.
- Customer Service & Communication: Respond to customer inquiries and ensure their requirements are met with promptness and accuracy. Handle MOT-related administration, including VT09 forms and meter readings.
- Strong knowledge of vehicle mechanics, servicing, and tyres (a prerequisite).
- Excellent organisational and time management skills to manage multiple tasks and jobs.
- Proficient in MS Office and other office management tools.
- Strong communication abilities, both written and verbal.
- Ability to work independently and manage high-volume tasks in a fast-paced environment.
- Attention to detail and accuracy in record-keeping.
