In February 2022, Helix was acquired by Hines marking an exciting new chapter to further propel our property management offering in the UK and customer centric approach. Helix has a long-standing relationship with Hines over the past ten years, providing property management services across the majority of properties in the Hines UK portfolio. Helix continues to deliver an above market service to its existing client base, operating from its central London office. Helix manages all commercial asset types nationwide, but with a focus on prime central London offices, accounting for 70% of their portfolio.
The role will be based in our head office in Covent Garden and is that of an Associate Director. The role will consist of the management of predominately Central London multi-let offices and the successful candidate should have the experience and skills to run the instructions independently taking full ownership of all aspects of day-to-day property management, delivery of property management services and client care. The team is led by a Director who will maintain oversight and support, as required. Graduates and a Property Administrator support the wider team.
Responsibilities include:
- Ensure that all properties within the portfolio are managed effectively and efficiently to maximise value, minimise voids, and achieve Client’s objectives.
- Be fully responsible for all aspects of an allocated portfolio of commercial properties.
- Review workloads of colleagues regularly.
- Ensure that lease events are dealt with in a timely manner.
- Support junior colleagues in their management of properties and with their ambitions to become qualified and gain experience.
- Work with other Associate Directors to encourage initiatives that will benefit the company, colleagues, clients, and stakeholders.
- Prepare ad hoc reports including formal client reporting as required.
- Ensure that company policies and procedures are consistently applied to required standards.
- Review policies and introduce new policies to ensure the company is up to date with latest standards.
- Work alongside the facilities management team to oversee day-to-day maintenance matters.
- Head up project management of internal and external works alongside the relevant surveyor or professional consultant.
- Manage data and e-mails and ensure all client files are kept up to date.
- Take responsibility for the collection of rents and service charges.
- Ensure that service charge budgets and reconciliations are correct and produced in a timely manner.
- Implement a programme of regular site visits to ensure all buildings are in good order.
- Be proactive in communication with colleagues and in building relationships with all stakeholders.
- Contribute to wider Helix and Hines projects.
- Ensure insurance claims are processed efficiently and correctly.
- Develop processes to effectively circulate information and communicate regularly with tenants concerning management issues.
- Have a thorough understanding of Landlord and Tenant Act and related lease restrictions.
- Ensure that fees are issued as and when appropriate for works excluded from the management contract.
- Share expertise with colleagues.
- Ability to complete own work under minimal supervision.
- Make decisions regarding the management of the portfolio.
- Actively manage colleagues to get the best out of all situations.
- Support and encourage personal and professional development of colleagues.
Minimum Requirements include:
- MRICS qualification or 8+ years of commercial property management experience.
- Experience of administration within the context of an office.
- Experience of liaising with multilevel stakeholders including Clients, professional teams, lenders, investors.
- Ability to demonstrate all RICS competencies.
- Thorough understanding of commercial leases/service charges.
- Experience of liaising with clients, occupiers, consultants, and local authorities.
- Thorough knowledge of current Health & Safety legislation.
- Strong communication skills, both verbal and written.
- Good numerical skills including computer literacy (Excel, Word, MS Outlook).
- Ability to work alone or as part of a team.
- High level of organisational and administrative skills.
- Able to use initiative and take responsibility.
- Ability to work under pressure.
- Able to fit in with a diverse work team.
