We are recruiting for a PA to provide high trust, proactive, full support at Senior Level to up to 3 ELT members enabling effective prioritisation, decision making and execution across a fast-paced global business. Ensuring the smooth management of day to day affairs handling sensitive and complex issues in a professional and objective manner working as part of a collaborative team. To act as an extension of the executive office by managing complex communications, anticipating needs, protecting executive time, handling highly confidential information and ensuring seamless coordination. The role requires exceptional judgement, discretion, organisational capability and the confidence to operate independently in a dynamic and ambiguous environment.

Key Accountabilities
  • Manage ELT member’s electronic diary, assessing priority of appointments and reallocation as necessary.
  • Proactively manage executive inboxes, identifying priorities, flagging risks and ensuring timely responses and follow-up actions.
  • Draft correspondence, presentations and communications on behalf of ELT members with a high degree of professionalism and judgement.
  • Respond directly to internal and external stakeholders where appropriate on behalf of ELT members.
  • Act as a gatekeeper and facilitator, ensuring executive focus is aligned to the highest-value priorities.
  • Track key actions, decisions and deliverables across leadership meetings and transformation activity, ensuring timely follow-through and accountability.
  • Provide cover and support to PA team when necessary.
  • Handle highly sensitive people, commercial and transformation information with absolute discretion and professionalism.
  • Exercise sound judgement in managing confidential conversations, documentation and stakeholder interactions.
  • Maintain trust and credibility across senior leadership populations.
  • Redirecting/delegating e-mails as appropriate.
  • Book meeting rooms and ensure that the rooms are supplied with the relevant equipment i.e. video conferencing, stock supplies are kept full.
  • Coordinate external visits and corporate events.
  • Organising travel liaising with travel agent and host sites as needed.
  • Planning and organising meetings and events e.g. supplier/customer visits.
  • Processing credit card expenses and mileage claims.
  • Creating and updating organisation charts.

  • Experienced Personal Assistant at Senior Management level.
  • Exceptional prioritisation capability in a fast-moving environment.
  • Strong written communication skills with the ability to draft executive-level correspondence.
  • Digitally confident and comfortable leveraging technology and AI tools to improve efficiency and organisation.
  • Strong stakeholder management capability with confidence engaging at all organisational levels.
  • High resilience and composure under pressure.
  • Ability to anticipate needs and solve problems proactively with minimal direction.
  • Commercial awareness and understanding of organisational priorities.
  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internally and externally.
