What we are looking for:
We are looking for a professional and experienced Executive Assistant to provide full administrative support at Senior Level to 3 ELT members and to ensure the smooth management of day to day affairs handling sensitive and complex issues in a professional and objective manner working as part of a collaborative team.
Key responsibilities as an Executive Assistant will be:
- Manage ELT member’s electronic diary, assessing priority of appointments and reallocation as necessary
- Redirecting/delegating e-mails as appropriate
- Book meeting rooms and ensure that the rooms are supplied with the relevant equipment i.e. video conferencing, stock supplies are kept full
- Coordinate external visits and corporate events
- Book any relevant external venues and catering
- Organising travel liaising with travel agent and host sites as needed.
- Taking action points and writing minutes
- Planning and organising meetings and events e.g. supplier/customer visits
- Preparing presentations
- Managing meeting room bookings
- Drafting and editing documents.
- Processing credit card expenses and mileage claims
- Maintaining Team holiday calendars
- Collating and presenting data
- Creating and updating organisation charts
- Provide cover and support to PA team
To succeed as an Executive Assistant we ask that you are:
- Experienced Personal Assistant at Senior Management level.
- Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internally and externally
- Ability to deal with sensitive information with complete discretion and to maintain the strictest confidentiality.
- Excellent attention to detail, with the ability to maintain a high level of accuracy.
- A flexible, pro-active approach to work including the ability to prioritise and re-prioritise
- Can remain calm and professional under pressure
- Ability to deal with sensitive information with discretion and to maintain confidentiality.
- Excellent IT skills, including a working knowledge of Microsoft Office Word, Excel, PowerPoint and Teams.
