Role overview
Introduction to the role:
The Corporate team has grown significantly in recent years (both in headcount and revenue) and has ambitious plans for continued growth. In a large and busy team, an opportunity has arisen for an ambitious individual to support on administrative matters, under the guidance of the team’s Secretarial Coordinator, and contribute to a consistent and seamless service delivery both internally and externally.
This role is a great opportunity for an ambitious individual to take ownership of the role and grow with the team.
Introduction to the team:
The Corporate and Commercial team based out of our London office is comprised of 18 partners, 28 other fee-earners, 3 PAs and a compliance administrator. We advise on a broad range of transactions including mergers and acquisitions, capital markets (equity and debt), private equity, venture capital, joint ventures, reorganisations, general corporate advisory, commercial maritime and asset finance.
We work for a broad spectrum of clients from financial institutions, listed companies and investment funds, through to smaller start-up and owner-managed businesses and management teams, both domestically and internationally. The team forms part of a national corporate team that operates from our offices in Liverpool, Manchester, London, Leeds, Birmingham and Newcastle.
Key responsibilities:
- Assist with arranging meetings, including booking rooms, requesting conference calls and sending appointments/ MS Teams meetings.
- Assist with file administration including new client and matter opening; initial conflict checks, scanning and filing, closing and archiving.
- Assist with billing and other financial aspects of the team and coordination with the Firm’s finance team in that regard.
- Manage and monitor diaries for fee-earners in the team.
- Monitor fee earner’s email inbox during period of absence and identify urgent emails and redirect/ deal as appropriate.
- Make and receive telephone calls evaluating communication and ensuring all calls are dealt with effectively and swiftly
- Ad-hoc tasks such as travel booking, processing expenses and invoices.
- Converting documents into Hill Dickinson's house style
- Work closely with the team PAs & compliance administrator to ensure seamless service delivery.
- Provide wider support to the business services team during periods of high workload or business need.
- Provide any other support as may be reasonably requested by the team’s fee-earners or the Secretarial Coordinator.

- A confident self-starter that can work under minimal supervision on individual tasks or on larger projects with a strong sense of ownership and accountability.
- Sound judgement and decision-making skills
- Good working knowledge of Microsoft Office
- Strong communication and client service skills.
- Excellent attention to detail and accuracy
It would be beneficial for you to have some of the following:
- Previous experience in a professional services’ administrative role.
- Use of Document Management Systems
