Role overview:
Your role as Front of House / Administrator is to ensure the highest level of client care and personal service is provided to all employees, visitors and clients within Hill Dickinson.
The successful candidate will join the Yachts team in London which consists of 17 legal professionals servicing clients across the globe.
Key responsibilities:
- Receive and welcome visitors, liaising with Hill Dickinson hosts and offering hospitality as directed
- Coordinate meetings, conference calls, events, training sessions and arrange and deliver catering where required while demonstrating a keen attention to detail to all elements of service and presentation
- Carry out regular meeting rooms checks including the reception area to make sure that they are tidy and clean at all times to an impeccable standard
- Developing good working relationships with both internal colleagues and external clients and contacts as required, promoting a positive working culture and environment
- Prepare and make drinks for clients and visitors
- Monitor catering levels and order stock as required
- Present a professional image of the firm at all times whilst maintaining a friendly and helpful manner when dealing with clients, potential clients, stakeholders and colleagues
- Act as Fire Marshall for client facing areas
- Undertake any administrative duties which include but are not limited to the following:
- Booking couriers and maintenance of invoice and spreadsheets
- Stationery orders- including supply of branded items and marketing packs for meeting rooms and reception areas
- Regular updating of information in telephone directory lists and company directories within the telephone system and Hill Dickinson Intranet to include new starters
- Maintenance of weekly absence list
- Diary management
- Coordinating team diaries and arranging travel
- Ensuring regular and efficient billing and monitoring retainer arrangements
- General ad-hoc administration tasks
- Draft correspondence and prepare standard documentation
- Carry out copying, archiving, organisation of client files and filing systems, including electronic filing
- Support Monaco Office Manager with ad hoc tasks as required (such as preparing the pre-bills, coordinating the Monaco’s files spreadsheet, preparing Letters of Engagement when needed)
- General support and coordination with Facilities re. office maintenance issues
