We are currently looking for a Front of House Assistant to join our Birmingham office. This is an exciting opportunity as our Birmingham Office grows with the role including a degree of hands-on facilities assistance as well as reception duties. You will be liaising with the UK Office Services Manager to ensure the smooth running of the office.

The front of house team are the face of Hill Dickinson and offer impeccable client service to visitors and colleagues. You will be joining a team who have won awards for their hard work, commitment, friendliness and overall client service. Key Responsibilities:
  • Receive and welcome visitors, liaising with Hill Dickinson hosts and offering hospitality as directed.
  • Answer and redirect all calls on switchboard (both internal and external) as per the Hill Dickinson Telephone Standard.
  • Maintain visitor log and issue visitor passes.
  • Ensure the office remains presentable and always fit for purpose in all respects.
  • Coordinate meetings, conference calls, legal hearings, events, training sessions and arrange and deliver catering where required while demonstrating a keen attention to detail to all elements of service and presentation.
  • Carry out regular meeting rooms checks including the reception area to make sure that they are clean and tidy at all times to an impeccable standard.
  • Prepare and make drinks and serve food for clients and visitors.
  • Maintain and keep clean the kitchen area, clean crockery, whilst also maintaining stock levels.
  • Act as Fire Marshal for client facing areas.
  • First aider.
  • Assist with various contractors and suppliers who may need to attend the office.
  • Assist with processing, distribution and despatch of inbound and outbound mail.
  • Undertake any administrative duties which may be required to ensure the office functions effectively and that we are providing the best possible service to our clients.
What Are We Looking For:
  • Experience delivering high quality customer service/front of house experience in a similar environment.
  • Excellent communication and telephony skills.
  • Well-practised organisational skills including the ability to prioritise.
  • Proficient listening skills.
  • A degree of IT literacy and familiarity with systems typically used in a front of house environment.
  • Able to work well under pressure.
  • The ability to work as part of a team.
  • The ability to work under their own initiative.
  • A calm and professional manner.
  • Flexibility in approach and willingness to work outside of normal hours if business needs dictate.
  • Previous experience within a busy office environment with administration responsibility.
  • Ability to add creativity to support the concept for an event.
  • Enjoyment of team working and willing to contribute ideas/solutions to team issues.
  • Risk aware.
