We are currently recruiting for a full‑time Office Administrator working Monday to Friday, 8 am – 4 pm (occasionally 9 am – 5 pm to suit business needs). This position serves as a maternity cover for up to one year, with potential to become permanent depending on business needs.

Responsibilities

  • Liaise with drivers via phone or workshop reception.
  • Communicate with workshop members including managers, mechanics and stores personnel.
  • Book vehicles and enter data.
  • Manage accident reporting spreadsheet alongside Health & Safety.
  • Perform general clerical duties such as filing, photocopying, stationery and first‑aid audits.
  • Reconcile invoices, including tyre invoices.
  • Administer inspection paperwork for trailers, units and small plant.
  • Take, log and ensure efficiency of ATF bookings (MOTs).
  • Complete and update daily/weekly fire log.
  • Act as first point of contact for all third‑party work: contractual and ad‑hoc, including taking bookings, providing updates and liaising with internal departments for invoice preparation.

Qualifications

  • Previous experience within an administrative role (desirable).
  • Excellent telephone manner.
  • Good written and verbal communication skills, with attention to detail and accuracy.
  • Organisational skills, able to work in a time‑sensitive environment.
  • Good IT skills, especially Microsoft Office.

No prior knowledge of service & maintenance processes is required, as full training will be provided on all aspects.
