Job Purpose
The Information & Document Control Manager leads the governance, control and continuous improvement of project and asset information across its lifecycle. The role ensures information is accurate, compliant, traceable, secure and accessible through effective use of document control and common data environment (CDE) processes. The postholder supports project delivery, assurance and operational readiness by managing information standards, stakeholder compliance, training, reporting and structured handover.
Responsibilities
- Information Governance & Compliance
- Develop, implement, and maintain document control and information management plans, procedures, standards, and systems.
- Ensure compliance with relevant regulatory, contractual, company and project information standards, data protection requirements and agreed information protocols.
- Manage the full information lifecycle: creation, review, approval, distribution, retention, archiving and retrieval through controlled systems and workflows.
- Ensure that information meets required quality and specifications and is collected, managed and transferred effectively ensuring its value is understood, maximised and reused.
- Assurance, Security & Risk
- Maintain secure control of information, including metadata, permissions, audit history, revision/status codes and approval records.
- Ensure information security, including cyber security, confidentiality and classification requirements, are understood and applied across the project and supply chain.
- Conduct regular audits of information management practices and implement corrective and preventative actions to address non-conformities.
- Systems & Digital Delivery
- Administer and optimise the use of Electronic Document Management Systems (EDMS) and Common Data Environments (CDE).
- Ensure data integrity, user access control, and system functionality.
- Drive system upgrades, user training, and support.
- Evaluate information workflows and interfaces with project, engineering, quality and asset information processes, identifying opportunities to improve efficiency and automation.
- Project, Stakeholder Coordination & Handover
- Collaborate with project managers, engineers, quality teams, clients and stakeholders to meet information management needs.
- Coordinate information reviews, approvals, transmittals and internal/external submissions.
- Provide clear reporting on information management metrics, compliance, forecasts and project readiness.
- Define and manage staged handover, closeout and archive activities to support future asset operation and maintenance.
- Leadership, Training & Capability
- Lead, mentor, and develop a team of document control professionals.
- Set performance objectives, conduct appraisals, and oversee training initiatives.
- Provide training and guidance on information management procedures, systems and compliance expectations to internal and external stakeholders.
- Promote a culture of high performance, collaboration, and continuous improvement.
- Planning & Continuous Improvement
- Champion best practices and technological advancements in document control and information management.
- Identify inefficiencies and lead initiatives to streamline processes and increase automation.
- Support resource planning, workload forecasting and budget awareness for information management activities.
