The Office and Travel Administrator will be responsible for all front-of-house and facilities-based activities. This is a critical role in supporting the business with key administration tasks to ensure a best-in-class service to both Highview Staff and external visitors. We are looking for someone who wants to make this role their own; you'll be someone who thrives in delivering a fantastic experience, loves variety and can help to shape and inform how we make being in the Highview HQ office a great experience for everyone! We are looking for someone to be onsite with us every Monday, Wednesday and Friday, with the potential to increase days in the future.
Responsibilities:
- Manage front of house inbox and general enquiries.
- Ordering stationery and supplies for the office while proactively managing inventory.
- Oversee meeting room bookings and general office set-up for external guests and internally led workshops.
- Inbound and outbound post / deliveries.
- Booking office events and support with external requirements.
- Support with travel booking for 2 members of the Leadership team and also infrequent travellers.
- Maintain kitchen supplies including weekly orders of snacks, refreshments and breakfast provision.
- Responsible for liaising with building service provider and building concierge teams.
- Company credit card management and receipts.
- Creation of new supplier accounts in SAP.
- New starter equipment and desk set up in collaboration with HR.
- Own office seating plan.
- Office Health & Safety tours for new starters as well as managing the office H&S checks and tracker documents.
- Support Internal communications and town hall set-up.
- Liaising with outsourced IT support and supporting with issues.
- Manage outsourced catering as required.
