The Integration Specialist ensures that data between HEP systems and partner university platforms is accurate, secure, and reliable. You will support the implementation, monitoring, and maintenance of integrations, help troubleshoot issues, maintain data quality, and support onboarding of new partners. This is a hands-on role, perfect for someone early in their systems/integration career who wants to grow technically while contributing directly to the success of university partnerships.

Key Responsibilities
  • Integration Support & Data Management
    • Set up, monitor, and maintain integrations between internal systems (CRM, LMS) and partner university platforms.
    • Troubleshoot integration errors, validate data accuracy, and perform manual updates when automation is not in place.
    • Log, track, and escalate integration incidents, following up to resolution.
    • Support onboarding of new university partners, ensuring integrations are implemented smoothly.
  • Process Documentation & Continuous Improvement
    • Document data flows, integration points, and business processes clearly and accurately.
    • Prepare data mapping and technical documentation for new or updated integrations.
    • Work with senior team members to analyse recurring issues and propose process improvements.
    • Suggest automation opportunities to improve efficiency and reduce manual tasks.
    • Participate in integration workshops and meetings, capturing key actions and outcomes.
    • Liaise with external development partners to monitor progress on integration tasks.
    • Communicate updates and issues clearly to internal stakeholders.
    • Ensure partner requirements are correctly understood and reflected in integrations.
  • Data Quality & Reporting
    • Validate and cleanse data using Excel, SQL, or other tools to maintain accuracy.
    • Assist in preparing dashboards and reports on integration health, data integrity, and sync status.
    • Monitor scheduled data loads and automated jobs, escalating failures as needed.
  • Security & Compliance
    • Follow internal data security policies and best practices.
    • Ensure compliance with UK GDPR and partner data agreements.
    • Maintain documentation of all integration changes, approvals, and process updates.
Skills & Experience
  • 1–3 years’ experience supporting data, systems, or integrations.
  • Hands-on experience with data validation, cleansing, and reporting.
  • Familiarity with databases (SQL, Access, or similar).
  • Basic understanding of APIs, ETL processes, and data formats (JSON, CSV, XML).
  • Exposure to CRM or LMS platforms (Salesforce, Microsoft Dynamics, Moodle, Canvas, Blackboard, etc.).
  • Advanced Excel skills (pivot tables, formulas, data validation).
  • Experience documenting processes and workflows.
  • Strong analytical thinking, problem-solving, and attention to detail.
  • Excellent written and verbal communication skills.
  • Proactive, collaborative, and able to manage multiple tasks efficiently.
  • Degree or diploma in Computer Science, Information Systems, or related field.
  • Exposure to integration platforms (Boomi, MuleSoft, Microsoft Power Automate, or similar).
  • Foundational Python or scripting skills for data validation/reporting.
  • Experience in higher education or technology environments.
  • Familiarity with GDPR / data protection compliance.
Team & Reporting
  • Reports to: Head of Technology.
  • Works closely with: Senior Integration Specialists, Technology team, Partner Support, and external vendors.
  • Collaborates across: Enrolment, Operations, and Marketing teams to ensure accurate, timely data flows.
