The predicted salary is between 22000 - 26000 £ per year.

This is a fixed-term maternity cover position for approximately 10 months. The contract is expected to run until approximately June/July 2027; however, the post will terminate upon the return of the substantive postholder, whose return date may be earlier or later than anticipated. This is a varied and rewarding role where no two days are the same.

You will be the first point of contact for patients, providing a professional and welcoming service both face-to-face and over the telephone. Duties include booking appointments, responding to patient enquiries, processing requests and supporting the smooth day-to-day running of the practice. We are looking for someone who is organised, approachable and able to work calmly in a busy environment. Strong communication skills, attention to detail and the ability to work well as part of a team are essential. Previous reception or customer service experience is desirable, although full training will be provided for the right candidate.

Main duties of the job

The successful candidate will provide a professional and welcoming reception service to patients and visitors at the practice. Main duties include:

  • Answering telephone calls
  • Booking and managing appointments
  • Greeting patients
  • Responding to enquiries
  • Processing repeat prescription requests
  • Supporting the clinical team with a range of administrative tasks

The role also involves maintaining accurate patient records, handling confidential information sensitively and ensuring patient queries are dealt with efficiently and courteously. The postholder will work closely with colleagues to support the smooth day-to-day running of the practice and help deliver a positive patient experience. This is a busy and varied role which requires excellent communication, organisational and customer service skills, along with the ability to work calmly and effectively within a team environment.

Hibaldstow Medical Practice is a small, friendly rural dispensing practice serving approximately 3,500 patients across a wide geographical area of around 120 square miles. Our close-knit team includes two GPs, two practice nurses, a nurse associate, a healthcare assistant, eight dispensers, four receptionists, two administrators and a practice manager. We work collaboratively to provide high-quality, patient-focused care to our local community.

Job responsibilities

Main Duties and Responsibilities:

  • Provide a professional and courteous reception service to patients and visitors.
  • Answer incoming telephone calls promptly and deal with enquiries appropriately.
  • Book, amend and cancel patient appointments using the clinical system.
  • Signpost patients to the most appropriate clinician or service.
  • Receive and accurately record patient information.
  • Maintain and update patient records ensuring accuracy and confidentiality at all times.
  • Handle incoming and outgoing correspondence including emails, letters and clinical documents.
  • Scan and file documents electronically within patient records.
  • Liaise with GPs, nurses and other members of the multidisciplinary team.
  • Support patients with general enquiries and provide assistance where required.
  • Ensure the reception and waiting areas are kept tidy and welcoming.
  • Open and close the reception area following practice procedures where required.
  • Undertake general administrative duties to support the practice team.
  • Participate in training and team meetings as required.

The postholder will communicate with patients, carers, visitors and healthcare professionals on a daily basis and must demonstrate excellent communication and interpersonal skills at all times. Qualifications
  • GCSE grade A to C in English and Maths
  • Good standard of written and verbal communication
  • Basic IT skills including use of Microsoft Office systems
  • NVQ Level 2 or equivalent in Business Administration, Customer Service or Healthcare Administration
Experience
  • Previous experience in a customer service or reception-based role
  • Experience of working in a busy environment and managing competing priorities
  • Ability to work effectively as part of a team
  • Previous experience working within a GP practice, NHS or healthcare setting
  • Experience managing appointments and patient enquiries
  • Experience handling confidential or sensitive information
