The Position

As a Patent Renewals Officer, you will support the delivery of a high-quality, timely renewals service by assisting the Renewals Team with a range of administrative and operational tasks. You will monitor case progress, maintain accurate diary systems to ensure all critical deadlines are met, and liaise with Patent Attorneys, Formalities Officers, clients, and foreign associates to keep matters on track.

Your responsibilities will include:

  • Preparing renewals reports
  • Producing documentation and tables using Word, Excel, and Adobe Acrobat
  • Managing invoicing
  • Updating and maintaining accurate system records
  • Supporting the timely payment of patent renewals across multiple jurisdictions

This role requires a high level of accuracy, organisation, and confidentiality, alongside the ability to manage competing priorities in a deadline-driven environment.

About You

You’re a highly organised and detail-driven administrator with experience in a professional services or legal environment, ideally within a renewals or IP setting. You have a strong understanding of working to strict, non-negotiable deadlines and are confident managing renewals lifecycles, from tracking due dates and maintaining accurate diary systems, to preparing reports, issuing reminders, and supporting the timely payment of renewal fees across multiple jurisdictions.

Accuracy is second nature to you, and you take pride in ensuring all data, dates, and documentation are correct and up to date. You take a proactive and methodical approach to your work, monitoring case statuses closely and liaising with attorneys, formalities teams, clients, and foreign associates to keep renewals on track.

Comfortable handling high volumes of work, you are adept at prioritising tasks, managing competing deadlines, and identifying potential risks before they arise. With a strong service mindset, you are committed to delivering a reliable, efficient renewals support function, while continuously building your knowledge of country-specific requirements and processes.
