The Operations Coordinator is responsible for the seamless operation of our London showroom’s sample and stock logistics. This role is pivotal in ensuring our inventory is accurate, our shipments flow smoothly, and our stakeholders—both internal and external—receive timely, efficient support. You’ll work at the heart of our operations, balancing structure with adaptability in a fast-paced, design-led environment.
Responsibilities
- Sample Library Management: Maintain and organise our extensive sample library and stock room to ensure a clean, accessible, and efficient workspace. Accurately manage inventory using our Inventory Management System (IMS), tracking sample location, condition, and movements. Collaborate with logistics teams across global showrooms (Paris, Los Angeles, New York) to ensure consistency and accuracy in stock records.
- Admin & Logistics Coordination: Manage the receiving and preparation of stock orders at our London showroom. Liaise with international shippers and suppliers to ensure timely and secure deliveries. Monitor and follow up on all incoming and outgoing shipments, ensuring timely and traceable deliveries.
- Courier Coordination: Serve as the primary contact for courier services, handling booking, tracking, and troubleshooting any delivery issues with professionalism.
- Sample Documentation: Photograph, label, and document all samples for easy identification and accurate records. Ensure compliance with customs and shipping documentation requirements.
- Stakeholder Communication: Communicate daily with internal teams, clients, and designers to fulfil sample requests promptly and accurately. Provide regular updates on sample availability, shipments, and delivery timelines.
Qualifications
- Minimum 1 year of experience in an administrative or operations role, ideally within the luxury, design, or fashion sectors.
- Proficient in inventory management systems and basic office software (Excel, Google Workspace, etc.), Airtable is a plus.
