Key Responsibilities
- Provide administrative and operational support to the Client Account Service team in managing client accounts and secretarial services.
- Assist in handling day-to-day matters for assigned client portfolios, including document preparation, filing, and record maintenance.
- Support the management of Secretarial Account and Xero subscription renewals, including preparation of renewal schedules and reminders.
- Prepare and organize documents related to annual returns, registered office services, nominee services, incorporations, and other secretarial matters.
- Assist in preparing proposals, service agreements, invoices, and onboarding documents for client presentation.
- Maintain accurate and up-to-date client records, service trackers, and internal databases.
- Monitor pending items, deadlines, and outstanding documents; follow up internally and with clients as instructed by the account executive.
- Support billing processes by tracking invoices, payment status, and coordinating with the finance team.
- Facilitate onboarding and offboarding processes by coordinating documentation and supporting knowledge transfer for new or transferred clients.
- Liaise with internal teams (e.g. Corporate Legal Group, Finance, Compliance) to ensure smooth service delivery.
- Perform general administrative duties related to client services, including filing, scanning, correspondence, and scheduling.
Requirements & Skills
- Diploma or equivalent qualification in Business Administration, Accounting, or related fields.
- Prior experience in corporate services, secretarial, or professional services firms is an advantage.
- Strong organizational and administrative skills with attention to detail.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office and familiar with accounting or practice management systems (e.g. Xero is an advantage).
- Team-oriented, proactive, and willing to learn.
