Our Business Support Service is looking for highly motivated, enthusiastic, and organised Business Support Senior Officers who can ensure that a high level of administrative support is provided to our departments.

Our Business Support Service is a centralised unit which has been formed to deliver a co-ordinated, consistent, and high-quality service supporting service delivery across the organisation. Business Support is critical to ensuring our departments can support services to our residents, and if you have great administrative skills and a strong customer focus, you could be part of it.

You\'ll be working as part of the central Business Support Service with more than 400 colleagues, and you\'ll be supporting our departments to ensure they are able to deliver critical services to the residents of Hertfordshire.

About the role

Our Business Support Service supports a range of departments. If you are particularly interested in an area, please specify in your application. If we do not have any vacancies for your preferred area at this time your application will be held in a talent pool, and you will be contacted when a vacancy arises.

All roles tend to be hybrid, which will mean that you will be expected to work within one of Hertfordshire County Council\'s offices on a regular basis as well as working from home. The hiring manager will discuss the details for each particular vacancy.

Departments

Children\'s Services

You will be supporting services across Childrens Safeguarding, Specialist, Education, Skills & Inclusion who ensure Hertfordshire families, children & young people have the right support, guidance and advice, some roles may involve exposure to sensitive information & a DBS may be required for roles working in buildings where children or young people may be present.

Adult Care Services

ACS focusses on enabling people to live a full and active life as independently as possible in the community. We have Older People\'s and Sensory Services, Adult Disability Services, Safeguarding, DoLs and Learning & Development, along with Integrated Discharge and Transfer of Care Teams, Day Opportunities and Supported Living Services. As a Business Support Officer you will undertake a variety of administrative duties depending on the service including data entry and analysis, meeting support and minute taking, receiving and making telephone calls. You may be in contact with those that use our services and a DBS may be required in these settings. Some of the roles will not be office based but maybe in the Hosptial Teams or Supported Living Units.

Public Health

You\'ll be supporting our statutory Public Health teams dealing with confidential and sensitive matters and undertaking a range of administrative duties such as meeting support, creating agendas, note and minute taking, answering telephone calls, managing surveys and providing information as a first point of contact.

Hertfordshire Fire & Rescue Service

You\'ll be supporting the teams in the Hertfordshire Fire Stations. Key duties include inputting overtime and on-call payments to HCC\'s payroll system, managing the supply of uniform and PPE on behalf of operational staff, making and receiving telephone calls on behalf of the Fire Service, finance support with station budgets and purchasing, and providing information as a first point of contact. You will be expected to manage team commitments avoiding scheduling conflicts and deal with all general matters including correspondence, invoices, and timesheets according to local procedures.

You\'ll be supporting services such as Passenger Transport, Libraries, Property undertaking a range of administrative duties including meeting support, creating agendas, note and minute taking, raising purchase orders, managing invoicing and payments processes, maintaining database information and providing information as a first point of contact.

You\'ll be supporting services across our Resources Directorate, such as our Libraries and our Property Services, undertaking a range of administrative duties including meeting support, creating agendas, note and minute taking, raising purchase orders, managing invoicing and payments processes, maintaining database information and providing information as a first point of contact

Legal Services

You\'ll be providing business and administrative support to the Legal teams comprising of Commercial, Property, Adult Education & Health (AEH), Child Litigation (CLU), Dispute resolution, and Environment. Providing specialist professional support to Fee Earners and Managers dealing with confidential and sensitive matters, answer telephone calls and providing information as a first point of contact. In this role you will be undertaking a range of administrative duties such as minute taking, filing, scanning, photocopying, correspondence, making bundles to be sent to the courts, preparing engrossments and binding contracts.

Legal Services are accredited and adhere to external standards and regulations outside of HCC within the Law Society, Solicitors Regulation Authority and Lexcel. Along with HCC policies and guidelines we adhere to strict deadlines, attention to details is paramount to avoid data breaches being made.

Hours: 30 hours per week, across 4-5 days

We are seeking a highly organised and adaptable Business Support Senior Officer to join our Adult Disability Services team, supporting both East and West teams. This role involves working flexibly across our Stevenage and Apsley offices, with hybrid working available based on service needs. This role requires the ability to travel independently throughout the county including to locations using your own mode of transport.

Essential:

  • Experience of working in a previous administrative or support role
  • Organisational and multitasking skills
  • Strong communication and interpersonal abilities with a range of audiences
  • Proficiency in Microsoft Office Suite and other relevant software
  • Experience in working as part of a team in a fast-paced environment.
  • Understanding of specialised processes and methods gained through relevant training and experience.
  • Ability to plan own work over short timescales for routine or familiar tasks and processes and use your initiative to work independently.
  • GCSE or Vocational equivalent, strong numeracy and literacy skills
  • Enthusiasm and pride in your work are qualities we welcome.
  • You will be used to working to tight deadlines and with high accuracy in written correspondence.
  • Experience in minute or note taking

  • Support with coaching and training others
  • Experience in processing invoices and handling financial transactions
