About the team

For over 40 years, Hertfordshire Music Service (HMS) has delivered musical opportunities for young people throughout the county. The service is now one of the largest in the country, involving thousands of young people in regular musical activities with hundreds of HMS teachers. The HMS \'Musical Voices\' vision for 2020-30 aims to ensure all young people in Hertfordshire can discover their own unique musical voice and to make the service fully inclusive. To achieve this, HMS is transforming to meet the changing needs of young people over the next decade.

Working closely with colleagues in the Hertfordshire Music Service Progression team, the County Events & Courses Coordinator plays a key role in planning and delivering the County Youth Music programme, Hertfordshire Music Service events including the bi-annual Hertfordshire Schools\' Gala, the CPD programme, and termly exam days.

About the role

The postholder will be responsible for:

  • Supporting planning and delivery of courses, concerts, and events across Hertfordshire and at venues like the Royal Albert Hall and during foreign tours, ensuring safe, inclusive, and enriching experiences.
  • Coordinating with various venues to manage logistics and operations.
  • Conducting site visits to assess venue suitability, safeguarding, accessibility, and technical needs.
  • Preparing detailed schedules and itineraries, and sharing information with all stakeholders.
  • Communicating with tutors and conductors to confirm availability and align on objectives.
  • Providing clear and timely information to families and participants.
  • Maintaining and updating the Hertfordshire Music Service Events Calendar.
  • Supporting marketing efforts for concerts and events.
  • Coordinating equipment needs with the instrument team.
  • Working with the Progression Administrator to ensure accurate record-keeping.
  • Managing staffing rotas and briefing teams for events.
  • Supporting CPD training sessions and exam days, coordinating logistics for about 40 CPD sessions and 2-5 exam days per term.
  • Managing the County Youth Music audition cycle, including application processes, scheduling, and communication.
  • Travel across Hertfordshire and beyond, requiring a full UK driving licence and access to a vehicle.

Essential skills and experience include:

  • Experience in coordinating complex schedules and logistics.
  • Strong communication skills.
  • Teamworking and flexibility.
  • IT skills, including Microsoft 365 and data management systems.

Desirable skills include experience in event planning, working with children and young people, safeguarding, and knowledge of Hertfordshire Music Service. A willingness to drive a van for transporting instruments or equipment is also desirable. The role requires a DBS check and the ability to travel around Hertfordshire using personal or company transport. Fluency in English and the ability to communicate effectively with the public are essential.
