We have an exciting opportunity for a full-time Legal Secretary to join our Employment & Immigration Department. If you’re a proactive, detail-oriented professional with a 'can-do' attitude, and you're ready to be involved in all aspects of the department, we want to hear from you. In this role, you'll provide vital support to our Employment & Immigration Team, assisting with administrative tasks and supporting the team’s business development activities and events. The Opportunity:
- Provide high-level secretarial and administrative support to fee earners within the Employment Law team, assisting with a broad range of contentious and non-contentious employment matters for corporate and individual clients.
- Monitor and manage incoming correspondence (email, post, phone calls), ensuring timely responses or escalation to the appropriate fee earner as needed.
- Prepare, format, and amend a variety of legal documents such as employment contracts, settlement agreements, disciplinary and grievance correspondence, tribunal documentation, and consultancy agreements.
- Open, maintain, and close client files in accordance with firm policies and regulatory obligations, including anti-money laundering checks and KYC procedures.
- Liaise professionally with clients, barristers, HR professionals, and other external stakeholders to coordinate case matters and maintain effective communication.
- Maintain and update matter progress reports, case trackers, and tribunal timetables to support fee earner visibility on deadlines and key milestones.
- Assist with the preparation and collation of bundles for Employment Tribunal hearings, including pagination, indexing, and document verification.
- Manage diaries, schedule internal and external meetings, and monitor critical dates and limitation periods to ensure deadlines are met.
- Organise travel, conference calls, client seminars, and CPD-related registrations for fee earners where required.
- Draft and process invoices, liaising with the accounts team to monitor funds on account and address billing queries promptly.
- Maintain up-to-date knowledge of employment law procedures and departmental best practices to deliver efficient and accurate administrative support.
- Support the Employment Team Operations Manager with secretarial and administrative projects as needed.
Skills and Experience:
- Previous experience as a Legal Secretary or Legal Assistant within an Employment Law or Litigation department.
- Understanding of employment law processes, including tribunal procedures, ACAS protocols, and typical client advisory workflows.
- Strong document and file management skills with high attention to detail and accuracy in document preparation and formatting.
- Confident in liaising with clients and third parties, demonstrating professionalism, discretion, and excellent interpersonal communication.
- Highly organised with the ability to prioritise workload and manage competing tasks in a fast-paced legal environment.
- Familiarity with legal compliance requirements, including AML and GDPR, and experience handling confidential and sensitive material.
- Proficient in the use of digital dictation tools, case management systems, and Microsoft Office (Word, Excel, Outlook).
- A collaborative team player with a proactive attitude and willingness to provide support across the wider team where needed.
