Location: HERO-ERA HQ, Bicester Heritage, Bicester, Oxfordshire
Reports to: Chief Executive Office, Chief Financial Officer, Chief Operations Officer
Direct Reports: Dedicated Mechanic, Arrive & Drive Assistant
Position Overview
The Arrive & Drive and Classic Car Experiences Manager will oversee the management, marketing, and delivery of HERO-ERA’s Arrive & Drive programme and related client services. This includes maintaining and operating a fleet of classic rally and touring cars, managing client relationships and sales, and ensuring seamless delivery of customer experiences across HERO-ERA rallies, Itineris tours, and other classic car events worldwide.
The role requires regular UK and international travel to support clients on events, manage vehicles, and ensure the smooth delivery of services. A valid passport and full availability to travel are essential.
Key Responsibilities
Fleet & Operations Management
- Oversee HERO-ERA’s Arrive & Drive fleet of classic cars, ensuring all vehicles are maintained, compliant, and event-ready.
- Manage car storage, presentation, and logistics for UK and international events.
- Maintain detailed service and compliance logs, including insurance, tax, registration, and regulatory documentation.
- Coordinate with suppliers, specialists, and transport providers to keep vehicles in peak condition.
- Ensure timely planning of ongoing and future works, with accurate record-keeping and invoicing.
Financial & Administrative Management
- Work closely with the Group’s finance department to set budgets, track expenses, and report on departmental performance.
- Monitor actuals vs. budgets, highlighting variances and recommending efficiencies.
- Manage client invoicing for both car hires and the new Classic Car Concierge storage & maintenance service.
- Provide regular financial and operational reporting to senior management.
Client Experience & Sales
- Act as the primary contact for Arrive & Drive clients, managing enquiries, quotations, bookings, and customer service.
- Deliver a premium client journey, including car familiarisation sessions, handovers, and post-event debriefs.
- Manage client expectations, resolve issues diplomatically, and oversee damage assessments and reimbursement processes.
- Proactively promote Arrive & Drive hire sales, working toward financial KPIs.
- Support the launch and management of the new Classic Car Concierge service, ensuring premium service standards.
Internal & Cross-Department Collaboration
- Align with the HERO-ERA Competition Department on event logistics, costs, and scheduling.
- Coordinate with Itineris (Un) Ltd. for use of Arrive & Drive cars on tours and showroom space allocation.
- Liaise with Hangar 136 Ltd. on showroom coordination, car trading opportunities, and client referrals.
- Work with the Media & Marketing Department to promote Arrive & Drive offerings and support content creation.
- Collaborate across departments to ensure seamless integration of Arrive & Drive into HERO-ERA’s wider activities.
Leadership & Team Management
- Work with and coordinate with the company’s dedicated mechanic and Arrive & Drive assistant.
- Ensure staff are fully briefed, motivated, and aligned with departmental goals.
- Promote a culture of professionalism, accountability, and client service excellence.
- Identify opportunities to grow and improve the Arrive & Drive programme, proposing new initiatives to maximise revenue and efficiency.
Required Skills & Experience
- Proven experience in fleet management, automotive events, or high-end hospitality/event operations.
- Strong commercial acumen with experience in budgeting, financial reporting, and revenue generation.
- Excellent client-facing and communication skills, with the ability to build strong relationships.
- Strong organisational ability with attention to detail and record-keeping discipline.
- Experience in supplier and team management.
- Knowledge of classic cars, rallying, or the collector car market is highly desirable.
- Competence with Microsoft Office/Excel (essential), CRM and fleet management software (advantageous).
- Full, clean driving licence (experience with classic or performance cars preferred).
- Valid passport and full availability to travel in the UK and abroad.
