The Role
This position owns the timely and accurate completion, organizing and submitting of Mechanical and Plumbing permits. This person will support the Project Managers and the Salespeople to ensure that the proper documentation and procedures are followed. Responsibilities including but not limited to customer service, general clerical duties, most permits can be done online but must be willing to commute inside of King, Pierce, Thurston, and Snohomish counties. Additionally, this role will also support the project management and field leadership groups with badging facilitation when required for construction projects.
Responsibilities:
Permit Coordination
- Manage and oversee the mechanical permit application approval process, issuance of permits, plan submittals, plan processing, and the payment process.
- Research permit-related questions and serve as Hermanson’s primary contact with those Permit Offices.
- Create and maintain working relationships with City Permit Offices to facilitate communication between those offices and Hermanson employees to solve permit-related issues.
- Travel to jurisdictions within the greater Puget Sound region for permit processing (mileage is reimbursed).
- Travel to project sites within the great Puget Sound region for permit drop-off, if project deadlines and team capacity require (mileage is reimbursed).
- Coordinate the delivery to field and or Project Managers.
- Identify and recommend opportunities for improving efficiency as well as refining processes and procedures.
- Assist in ensuring timely processing of plans, permits, and applications.
- Manage and coordinate the routing and tracking of permits.
- Send necessary updates to the team regarding the status of permits, including extension and renewal deadlines.
- Work closely with the cities to understand both input and approval lead times.
- Review and approve proposed street addresses for planned construction projects.
- Manage all credit card payment receipts to ensure posting to the correct job in a timely manner.
- Update job folders with pertinent permit information.
- Maintain the permit log and Permit SharePoint page with application pending, upcoming and issued permits.
- Complete permit-related printing requests.
- The permit coordinator does not schedule or attend inspections.
Badging Coordination
- Submit badge applications on behalf of our field and office personnel when requested.
- Track the status of submitted badge applications and follow-up as needed.
- Work closely with the badging facilitators and the different locations to understand requirements to maintain an efficient badging flow.
- Coordinate with HR to facilitate background checks associated with the badging process.
Other Responsibilities:
- Work with other Project Coordinators to assist with their duties if workload requires that you do so.
The salary range for this position is $60,000.to $80,000. (The compensation offered may vary depending on job-related knowledge, skills and experience).
Qualifications:
- The qualified candidate must have at least 3 years’ progressive experience in performing duties and responsibilities like those mentioned above. In addition, the candidate should:
- Have a strong motivational fit for mechanical systems, design, and construction.
- Possess strong written and verbal communication skills.
- Be able to demonstrate strong organization skills.
- Possess good computer skills, including MS Office Suite and being able to navigate databases, enterprise systems and online content with ease.
- Experience in a fast-paced business environment is preferred.
- The successful candidate will be one who knows or will be able to quickly learn Hermanson Companies’ process and procedures.
- The successful candidate should be adept at handling objections and welcoming the teams/ Clients’ concerns to better understand what is needed to support them.
- This position is required to support field personnel and service our customers on projects. Depending on project requirements this may require full-time presence on the site and in some cases, presence before and after the project scheduled hours. Flexibility on hours and location of work is dependent on project requirements as determined by your supervisor.
Education:
- Must have the educational credentials to do the compositional and computational aspects of the job (high school degree/GED, with additional education being desirable).
