We are seeking a motivated and detail-oriented individual to join our team as a Secretarial Administrator based at Quay House Medical Centre. In this role, you will provide essential administrative and secretarial support to both clinical and administrative teams, ensuring smooth day-to-day operations within the practice. You will play a key part in delivering a high-quality service by supporting patient enquiries, coordinating Subject Access Requests, managing electronic records, and assisting with a wide range of referrals and administrative processes.

The successful candidate will be the first point of contact for many patients and external organisations, so a professional, friendly, and compassionate approach is essential. You will be expected to handle sensitive information with the highest level of confidentiality while maintaining accuracy and efficiency in all aspects of your work. This is a varied and rewarding position suited to someone who is organised, adaptable, and able to work both independently and as part of a busy team. Previous experience in a healthcare setting and knowledge of medical terminology would be advantageous but not essential.

The role is full-time, Monday to Friday (9:30am - 6:00pm), with flexibility required to support service needs.

Main duties of the job:

  • Co-ordinate and process Subject Access Requests for medical records.
  • Ensure that all contacts from patients and third parties, over the telephone and electronically, are greeted in a friendly helpful manner and handled courteously, efficiently and confidentially at all times.
  • Ensure that all requests and enquiries are handled courteously, efficiently and in line with practice policies and procedures.
  • Ensure that the filing and recording of patient information both electronic and manual is promptly handled with care and in line with practice policies and procedures.
  • Help to ensure that the surgery premises are kept safe and tidy at all times.

We work across 5 sites with our primary site being a newly purpose built surgery located in Hereford. Qualifications:

  • A good standard of general education, including: English and Maths at GCSE level or equivalent.
  • A demonstrable commitment to professional development.
  • European Computer Driving Licence (ECDL).
  • Medical Terminology.
  • Touch Typing.

Experience:

  • Experience of dealing with medical paperwork.
  • Experience of working with computer packages.
  • Experience of EMIS clinical system.
  • Experience of working in a GP practice or other primary care environment.
  • Experience in a secretarial setting.
