The team manages events across multiple countries with different languages, customs, and cultural expectations. This requires strong adaptability and cultural sensitivity. They are a dedicated team who fully support one another to ensure that every event goes above and beyond expectations.
The Event Co-ordinator will support the planning and execution of regional events across Europe and Africa, ensuring seamless logistics and exceptional attendee experience. This role involves travel for onsite support and site visits, as well as administrative and operational tasks.
In This Role You Will
- Event Planning: Support the team with planning the annual calendar of regional events, inclusive of physical and virtual events up to 20,000 attendees. Support onsite delivery, including travel to event locations and conducting site visits as required.
- Budget management: Working with the wider events team to understand the budget allocation for each element of the event, manage and reconcile each line you are responsible for.
- Manage registration platforms, ensuring accurate attendee data and smooth user experience.
- Support the Coordination of catering for the event to meet event requirements and dietary needs.
- Prepare and maintain hotel rooming lists for attendees and staff.
- Handle venue riders and requirements, ensuring compliance with technical and operational specifications.
- Support with the event gifting/registration gifts from ideas to briefing suppliers and selection.
- Provide general administrative support, including documentation, scheduling, and reporting.
- Collaboration: Partnering with peers, colleagues and wider teams, across the Regional events to ensure best practices are shared.
- Brand compliance: Ensuring all event materials, event activities, align with our brand guidelines, tone of voice and business objectives.
- Trends and market research: continually seek out new trends and innovations to enhance event experience, improve efficiencies, to improve the Distributor experience.
