Coventry Health Visiting Service is seeking a clerical assistant to join the Family, Health and Lifestyle Service. This post will provide valuable experience working within a community health setting and involve a range of administrative and clerical duties delegated by Senior Clinic Assistants and Health Visitors. The role may also require working in clinical areas to assist with well‑baby clinics and other clinical activities directed by Clinical Leads.
Main duties of the job
- Taking telephone calls, liaising with parents and professionals, communicating via e‑mail, filing, processing incoming and outgoing post, and preparing post.
- Ensuring tasks delegated by the team are completed in a professional manner.
- Arranging venues and sending out appointments for development assessments and other appointments on behalf of the Health Visitor, Staff Nurse and Community Nursery Nurse; re‑arranging and cancelling appointments as required.
- Supporting the work of Health Visitors and the skill mix team in the clinic setting, including weighing and measuring preschool children in line with growth foundation guidelines.
- Ensuring all equipment used within clinic areas is clean, in good working order and complies with the Trust’s Infection Control Policy and Health and Safety Policy; reporting faulty equipment to the appropriate service.
- Maintaining notice boards in clinic and community areas and ordering supporting leaflets and literature as requested.
- Securing and maintaining confidentiality of electronic patient records in accordance with trust policies and data protection procedures.
- Contributing to health visiting records when appropriate, keeping accurate and contemporaneous records (e.g., sending appointment times, noting non‑attendance).
- Creating database and Excel spreadsheets, inputting and retrieving computer data as required, and producing timely reports for the Health Visiting team.
- Observing clients and recognising significant changes in circumstances or behaviour, reporting concerns immediately to the Health Visitor.
- Understanding current Child Protection guidelines and procedures in accordance with Coventry’s Children’s Safeguarding Board.
- Undertaking mandatory training and service‑specific training to maintain skills and competencies; inputting annual leave and training requests on e‑roster in a timely manner.
- Participating in regular 1:1 meetings and appraisals with a Health Visitor or Senior Clinic Assistant.
Person Specification
- Essential qualifications: Good standard of education
- Desirable qualifications: RSA qualification or equivalent
- Essential experience: Recent office experience; experience of Microsoft Office packages including Word and Excel
- Desirable experience: Experience gained preferably within the NHS; previous work with babies, young children and families in the last three years
- Essential skills: Demonstrate good organisational skills and maintain office systems; work unsupervised and manage own workload; willingness to undertake clinical tasks after training (e.g., weighing babies) and further training as required; demonstrate importance of maintaining confidentiality of client information; understanding of Child Protection principles and willingness to undertake mandatory training
- Personal qualities (Essential): Good interpersonal skills and effective communication, including a good telephone manner and message‑taking skills; demonstrate understanding of equal opportunities and anti‑discriminatory practice; work as a member of the Health Visiting team, supporting other members
- Other requirements (Essential): Meet the travel requirements of the role; work flexibly within 9 am‑5 pm Monday‑Friday; may require moderate lifting and handling
