This role is responsible for providing expert support to the Inventory Management Team at Henry Schein UK, ensuring high quality for our customers whilst providing organisational profitability. The role holder will be focused on providing timely delivery and proactive communication to the Buyers on our supply chain risks and challenges related to the procurement of our products. The role requires Purchasing Assistants to be highly organised, juggling information on our 200+ suppliers simultaneously, whilst managing several tasks in parallel to different timescales. The role holder must also be able to work within the requirements of customs processes and inbound freight terms to ensure Henry Schein complies with relevant HMRC regulations.

Job Responsibilities

  • Manage the open order book for a range of selected suppliers to achieve a fill rate KPI’s and effectively monitor the predicted install report.
  • Work through the confirmations sent by suppliers daily updating system with accurate delivery dates and working with various stakeholders on any discrepancies.
  • Monitor and progress open order lines as defined by Equipment Buyer ensuring they are fully appraised of any risks and delays so communication and corrective actions can be undertaken.
  • Ensuring email queries & chases regarding product due dates are answered promptly with the correct up to date information available which can be passed onto the customer.
  • Arrange freight for all purchase orders as determined by the INCO term utilizing the European web-based tool ensuring it is completed accurately and with the correct mode of transport selected.
  • Review freight invoices and approve when in line with rates charged through the Freight Tool, any discrepancies to be corrected with the freight supplier prior to passing for approval.
  • Support the equipment buyer to close out supplier non-conformances in a timely manner.
  • Coordinate accounts payable price queries with the wider equipment team.
  • Participate in special projects and perform other duties as required.

This role is extremely varied; therefore, the job description is not exhaustive, and the role holder will be required to participate in other duties as required by the business.

Job Skills & Experience Required

  • Good standard of secondary education to GCSE/NVQ level.
  • Accreditation on the Microsoft Office package suite desirable.
  • Computer literate, with intermediate knowledge of the MS Office package, particularly Excel, Outlook and Word.
  • Experience of business administration required and it’s desirable if this were within a wholesale/distribution of FMCG procurement team.
  • Knowledge of the dental and healthcare sectors preferable.
  • Familiarity with JD Edwards or a similar ERP package desirable, but not a requirement.
  • Adept at managing multiple priorities in a time sensitive environment.
  • Comfortable acting as a point of contact for multiple business areas and experience building relationships of this nature in a professional setting.
  • Basic knowledge of HMRC regulations of post-Brexit import/export regulation a benefit, but not required.
