We are currently seeking to appoint a Medical Secretary for 20 hours per week at our friendly, supportive practice. The role involves providing general secretarial support to the Practice Manager, General Practitioners, and other Health Care Professionals, including managing referrals and general clerical work over two sites.
Hours of work will be:
- Monday 14:00 - 18:00
- Tuesday 09:00 - 15:00
- Thursday 14:00 - 18:30
- Friday 13:00 - 17:30

Main duties of the job:
- To provide an efficient copy typing and word processing service for GPs and health professionals as required, including the typing of letters, reports, patient referrals, and minutes in an accurate and quality manner.
- To assist the Practice Manager with all clerical and administrative duties.
- To make appointments, bookings, and admissions as required.
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications, taking messages and dealing with appropriate queries.
- To maintain the computer clinic system in an accurate and secure manner.
- To assist with the gathering of statistics and information when required.
- To provide cover for members of the secretarial team during periods of sickness and annual leave.
- To provide cover for members of the reception team during periods of sickness and annual leave.
About us:
The clinical team consists of five GP Partners, two Salaried GPs, three Practice Nurses, and four Healthcare Assistants, as well as the extended team of pharmacists, social prescribers, and first contact practitioners, who are all supported by a committed administrative and managerial team.
Job responsibilities:
- Typing and preparing clinical letters, referrals, reports, and general correspondence accurately and within agreed timescales.
- Managing incoming and outgoing patient referrals, ensuring all relevant information is complete and recorded correctly.
- Handling patient queries professionally by telephone, email, and in person, providing information and escalating concerns where appropriate.
- Maintaining and updating patient records in line with confidentiality and data protection requirements.
- Scheduling appointments, clinics, and meetings, and coordinating diaries for clinicians or medical staff.
- Liaising with GPs, hospitals, consultants, and other healthcare professionals regarding patient care and referrals.
- Processing incoming mail documentation efficiently.
- Ensuring accurate filing, scanning, and document management within electronic medical record systems.
- Supporting clinicians and the wider administrative team with day-to-day office duties.
- Monitoring and responding to urgent requests and prioritising workload effectively.
- Maintaining a high standard of customer service and compassionate communication with patients and relatives.
- Following practice policies, NHS guidelines, and confidentiality procedures at all times.
Person Specification:
- Previous experience in a medical secretary or healthcare administration role.
- Excellent typing skills with strong attention to detail.
- Strong communication and interpersonal skills.
- Ability to manage patient queries calmly and professionally.
- Good organisational skills and ability to prioritise workload.
- Experience using medical systems and Microsoft Office applications, including System One experience and ERS.
- Understanding of patient confidentiality and data protection requirements.
- GCSE Grade C/4 or above in English and Maths (or equivalent qualification) essential.
- Experience of working in a previous secretary role in Primary or Secondary care.
