Henley Royal Regatta · Henley-on-Thames · Full time, Permanent
For six days each summer, a quiet stretch of the Thames hosts one of the world’s greatest sporting and social occasions. Athletes arrive from across the globe, hundreds of thousands of spectators follow, and a rowing course, marquees and other event infrastructure is built to stage the event before being packed away for another year.
It takes a small operations team and a full year to make that happen. We are looking for someone to join our growing team.
THE ROLE
Working alongside our Head of Operations and Operations Manager, you will divide your year between two seasons.
Through the year, you will help look after our riverside estate: land and buildings, a large portfolio of tentage, boats, barges and plant, the contractors who maintain them, and the capital projects that keep improving them.
From late spring, you will be in and out of the office, spending time on site for the build, the Regatta itself and the de-rig. You will run Fawley Meadows, including the contractor compound, glamping and sold moorings. You will keep deliveries, traffic and parking moving, and own accreditation for every member of staff, contractor and volunteer.
Your work will include:
- Coordinating contractors, site access and delivery schedules
- Tendering and managing annual contracts for things like waste, signage, furniture and consumables
- Supporting budgets, invoice processing and re-charges
- Running the accreditation system, from pass design to distribution
- Minuting contractor meetings and seeing actions through to completion
- Collecting and reviewing risk assessments, method statements and insurance before work begins
YOU WILL BRING
- Hands-on operations experience, gained in estates or facilities, events, construction logistics, outdoor hospitality or a similar field
- Composure when the schedule slips and the weather turns
- A firm, fair manner with contractors, and the judgement to know when to elevate
- Strong organisation and a high standard of work under pressure
- Confidence with Microsoft 365, especially Excel, and a quick grasp of new systems
- Desirable: a full UK driving licence and a working knowledge of site health and safety (IOSH, SSSTS or similar)
WORTH KNOWING
This is a year-round role with a demanding summer with extended hours and some weekend working required in May, June and July, much of it outdoors. In return, you will be part of a small, close-knit team behind an event with very few equals.
