Part-time flexible receptionist required. Must be flexible and living within 3 miles of practice location. Reliability and multi-tasking skills are essential. You will need to be a good communicator, fluent in English, written and spoken, with excellent interpersonal and customer service skills; especially under pressure. You will have a range of patient-facing and administrative tasks, so excellent organisational skills and time management are critical. A caring, empathetic character is essential. Experience is desirable but not essential as full training will be provided.
The position is permanent, part-time with a flexible shift pattern. Hours of work range between 7:45am - 6:45pm Monday to Friday. We are supportive, fast-paced and collaborative. Reception or customer care experience is essential. The person must be an excellent communicator both spoken and written. Must have PC skills and be able to use basic Word, Excel and e-mail. Must be able to work within processes/procedures and work effectively with colleagues as part of a team. A willingness to learn and progress with a can-do attitude is required. Previous experience of working in the NHS is welcome but not essential. The ability to communicate with a wide range of people in a kind, professional and caring way is important.
Main duties of the job include:
- Offering general assistance to the practice team and projecting a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Receiving, assisting and directing patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
- Undertaking a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
- Facilitating effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
Duties and responsibilities may include:
- Opening up/locking up of practice premises and maintaining security in accordance with practice protocols.
- Maintaining and monitoring the practice appointments system.
- Processing personal and telephone requests for appointments, visits and telephone consultations, ensuring callers are directed to the appropriate healthcare professional.
- Processing and distributing incoming (and outgoing) mail.
- Taking messages and passing on information.
- Filing and retrieving paperwork.
- Processing repeat prescriptions in accordance with practice guidelines.
- Scanning and filing clinical letters with practice guidelines.
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
- Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
- Registration of patients as and when required and ensuring registration forms are all readily available.
- Promoting online appointments and prescriptions.
- Keeping the reception area tidy and free from obstructions and clutter.
Confidentiality is crucial in this role. The post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. All such information is to be regarded as strictly confidential.
The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice health & safety policy. This includes using personal security systems within the workplace according to practice guidelines and identifying risks involved in work activities.
The post-holder will support the equality, diversity and rights of patients, carers and colleagues, acting in a way that recognises the importance of people's rights and respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues.
The post-holder will strive to maintain quality within the practice and contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team's performance.
Personal qualities required include being polite and confident, flexible and cooperative, motivated, a forward thinker, and having high levels of integrity and loyalty. Sensitivity and empathy in distressing situations and the ability to work under pressure are also important.
Qualifications include previous experience in general practice or another admin role being desirable. Previous experience working in an administrative role for 1 year is preferred.
