The opportunity: We’re looking for a proactive, people-focused Workplace Advisor to help deliver a seamless and inspiring workplace experience at our London HQ. Acting as a key point of contact for all things office-related, you’ll support the day-to-day running of the office, contribute to culture-building initiatives, and ensure the workplace reflects our values of excellence, inclusivity and connection. This is a unique opportunity to shape the employee experience by creating a welcoming, safe, and efficient office environment that supports our hybrid working model and fosters collaboration. You’ll work closely with the People Team, IT, Facilities, and senior stakeholders to continuously improve our workplace offering and deliver high-impact moments for employees across their journey.

What you’ll do:

  • Office & Facilities Operations: Ensure smooth daily operations of the London office: cleanliness, organisation, and presentation. Act as a first aider, fire warden, and health and safety advocate. Oversee stock levels and suppliers for office snacks, supplies, and hospitality needs. Support desk booking, meeting room systems, and maintain the Facilities Helpdesk. Manage post, deliveries, building access and visitor processes. Liaise with vendors, contractors and building management to address maintenance or service issues.
  • Employee Experience & Culture: Deliver outstanding in-person onboarding experiences for new starters. Be the go-to person for employee queries about the office, events, or resources. Support the planning and delivery of internal events, social activities, and employee gifting (birthdays, anniversaries, life events). Champion a culture of inclusion and engagement, contributing to initiatives that make our workplace a space where everyone feels welcome.
  • Workplace Projects & Improvements: Support workspace optimisation, sustainability and improvement projects. Help gather employee feedback and use data to recommend improvements. Partner with the People Team and IT to deliver a friction-free employee journey across systems and physical space.
  • Health & Safety Compliance: Help maintain and update risk assessments and DSE compliance records. Conduct periodic health and safety checks and ensure workplace policies are followed. Assist in incident reporting and hazard mitigation where needed.

What you’ll bring to HeliosX:

  • Experience in facilities management, office coordination, hospitality or a workplace-facing role. Ideally some experience in a HR role would be beneficial.
  • A confident self-starter who thrives in fast-paced, people-focused environments.
  • Exceptionally organised and detail-oriented, with great multitasking skills.
  • Collaborative, approachable and passionate about providing great service.
  • Comfortable using workplace tools, booking systems, spreadsheets and helpdesk platforms.
  • Strong verbal communication skills with a positive, can-do attitude.
  • Naturally proactive and keen to make continuous improvements to the employee experience.
