The Opportunity
Our Business Operations Coordinator is going on maternity leave from October, and we're looking for someone to step into this critical role. This is a permanent position. Whilst the brief will naturally evolve over time, we're hiring someone who wants to grow with us, not just cover a gap.
This is a finance-heavy, detail-oriented role at the heart of how Heka runs. You'll be working closely with our Customer Success team on everything from invoicing and partner payments to member administration and operational support. It requires someone who genuinely enjoys the complexity of back-of-house finance work and takes real pride in getting things right.
You'll also spend a lot of time in our customer support inbox throughout the month, so you'll need to be comfortable switching between meticulous finance work and responsive, people-facing communication.
What You'll Be Doing
- Processing monthly invoices and managing partner payments accurately and on time
- Supporting our invoicing workflows, including CSV imports and billing data management
- Collaborating with the Partnerships team to resolve supplier queries and discrepancies
- Working alongside our Customer Support Assistant to manage member queries
- Processing reimbursements and membership proof of payments
- Handling member admin and making sure nothing falls through the cracks
- Supporting member engagement through email reach-outs and usage nudges
- Pitching in on ad-hoc tasks across the Customer Success team
Who We're Looking For
You don't need to have done every part of this role before. Our team will help you settle in. But the following are important:
- Experience with finance administration, invoicing, or accounts, ideally with hands-on Xero or similar platform experience
- Exceptional attention to detail. You spot errors others miss and you care about getting things right
- A methodical, focused approach to complex or repetitive work. Finance tasks require patience as well as accuracy
- Strong written and verbal communication skills for both internal coordination and member-facing queries
- Comfort switching between focused finance work and responsive customer support throughout the day
- A proactive attitude. You see a task and you own it, without waiting to be asked twice
- Curiosity and an enjoyment of digging into complex problems to find the root cause
