Purpose of the role

To meet all customer and business requirements in the most cost effective, professional, and timely manner whilst achieving a high level of customer service. To provide customers with a quality service for all enquiries, orders, deliveries, and associated administration in the most cost-effective way for Hanson Quarry Products. To support the role of the internal distribution team through monitoring work, processing diversions / cancellations and resolving issues.

Key Accountabilities

  • Become the point of contact for all MRP enquiries (including issues raised via DOM’s, Plant supervisors and drivers).
  • Maintain all MRP data (including concrete plant inbound hours, source changes, safety stocks etc).
  • Bridge the communication gap between Cement Planning team and the Concrete Readymix business line.
  • Monitor the ZMARC report to look for avoidable instances of overstocking / breaching safety stocks.
  • Complement the existing allocator process by identifying opportunities for diversions (based on stock situations).
  • Work closely with pre planners and allocators to ensure loads are prioritised correctly.
  • Daily liaison with allocations controller identifying planning issues and recommend corrective actions.
  • Monitor vehicles that have been unable to unload a full load (Cement Part load process) & ensure the return amount is processed correctly on the weighbridge once the vehicle arrives back.
  • Ensure that any deliveries which are sent out on handwritten tickets are processed through SAP before the vehicle loads another order.
  • Ensure ZMNRL report is kept clear and up to date (unreceipted goods list).
  • Raise / process purchase orders for internal deliveries where needed.
  • Complete regression testing if / when needed.

Order Management

  • Monitor ZMARC to ensure there are no orders that are considered “in transit” for the past. Should these occur, agents are expected to investigate and use corrective action to maintain the accuracy of MRP.
  • Source changes should be processed in a timely manner allowing the discontinuation to process enough time to correctly plan the goods movements.
  • Create, adjust, or delete any orders where manual involvement is needed.
  • Monitor Email notifications for plant overstocking.

Delivery Management

  • Assist the distribution teams by helping call lateness (where safety stocks are breached).
  • Record exceptions on a daily report (including reasons for part loads, reasons for returned loads, reasons for safety stock breaches / plant down time etc).
  • Monitor SyncroTess for exceptional circumstances (vehicles broken down with a load on them, order completed through via driver without being completed etc.).
  • Resolve issues that incorrectly completed orders present.
  • Resolve issues where a delivery to a concrete plant has been cancelled by mistake.
  • Resolve issues where a delivery does not appear on the delivery monitor after it has been correctly allocated.
  • Ensure early orders are highlighted to pre planners to guarantee the delivery window is achieved.
  • Communication with the allocators to process diversions where a delivery can no longer be accepted due to change in demand or where an opportunity exists that prevents a plant from becoming out of stock.

General

  • Liaison with ACM/DSM/AGM/RGM/DOM/RM and other required sales & operational staff.
  • Compliance with company policies.
  • Aid in the prevention of invoice/ haulier queries.
  • Accurately process all admin.
  • Develop a greater knowledge all business lines.
  • Link with the area teams and relevant external departments to ensure high level of customer service is maintained, including working within other areas should the need arise.
  • Monitor distribution operation regarding customer requirements and vehicle utilization during the day.
  • Liaise with weighbridges / plant supervisors to resolve queries / issues in a timely and effective manner.
  • Maintain good working relationships with drivers and service providers.
  • Receive, log, and resolve customer complaints on the Hanson NCR and Complaints system ensuring preventative and corrective measures are put in place.
