We're looking for a highly organised Development Delivery Coordinator to support the smooth delivery, handover and defects management of our development schemes. You'll play a key coordination and administrative role from start on site through to the end of the defects period, ensuring all documentation, records and customer-facing information are accurate, compliant and well managed.

In this role you will act as a central point of contact for handovers and defects, you'll work closely with project teams, contractors and colleagues across the organisation to support high-quality delivery and excellent customer outcomes. This is an ideal role for someone with strong attention to detail, excellent communication skills and experience working in a fast-paced, regulated environment.

Specifically, in the role you will:

  • Ownership and maintenance of consistent file structures and ensure all construction-stage documents are saved accurately and promptly, with dissemination to Project Lead and SLT.
  • Ensure all required documentation passes through the authorisation and governance sign-off process.
  • Ownership and maintenance of registers for contracts, sectional agreements, warranties, bonds, guarantees, indemnities, insurance records and associated legal documents.
  • Work in conjunction with the Development Administrator to keep PI insurance renewals, contractor/sub-contractor insurance schedules, sureties and bond registers up to date.
  • Manage email archiving, subscription renewals, GDPR forms for supply chain partners, and other administrative processes.
  • Ensure all Golden Thread information is collected, named and stored correctly (collation role only).
  • Co-ordinate the preparation of Home User Guides (HUGs) and Handover Packs, ensuring accuracy and completeness.
  • Review Home User Guides received from contractors and liaise with development lead on any missing or incorrect content.
  • Prepare meter & key sheets (MPAN/MPRN, full addressing) and oversee utilities registrations and diversions tracking.
  • Issue all required resident-facing documents at handover, including Landlord Certificates, Electrical Certificates, EPCs and key component manuals.
  • Attend pre-handover and handover meetings to support inspection processes and ensure handover documentation is complete.
  • Act as first point of contact for DLP (Defects Liability Period) queries and routine enquiries.
  • Assess reported defects for validity, liaising with contractors and customers where disputes arise.
  • Ownership and maintenance of the defects register, ensuring all defects are logged, issued to contractors and tracked to completion.
  • Ensure the out-of-hours provider has accurate DLP/emergency contact information.
  • Send electrical and gas certificates to Compliance pre-handover and ensure they are stored appropriately.
  • Ownership and maintenance of construction programme trackers (inputting updates provided by PM/Programme Manager).
  • Maintain risk & issues logs, variation logs, Early Warning/Compensation Event summaries and valuation trackers (updating only).
  • Coordinate construction progress meetings, issue meeting packs, schedule attendance and minute meetings where required.
  • Track receipt of Assure, CDM, H&S and Principal Designer documentation (chasing, filing and version control only).
  • Maintain an empty site inspection log (void land monitoring) and escalate issues appropriately.
  • Update Property Data Record information to enable customer tenancy creation and correct rent setting.
  • Ensure service-charge inputs and site services proformas are completed and filed.
  • Maintain the Welsh Government grant tracker, collating evidence as provided by PM/QS teams.
  • Raise purchase orders and support invoice processing through eBIS.
  • Provide administrative support to the Growth Directorate, including meeting support, minute-taking, booking arrangements and training coordination.
  • Prepare property review questionnaires, collate responses and feed learning into future schemes.
  • Coordinate site signage arrangements with Comms and organise Completed Site Review meetings.

To undertake any other duties as deemed reasonable/commensurate to the role.
