About the vacancy: We're looking to hire an Energy Support Advisor on a Fixed Term Basis to support the competition of our Energy project. This role is primarily administrative, supporting the day-to-day delivery of the Energy project. The majority of the role will involve data processing, maintaining accurate records, and ensuring systems are kept up to date, including use of CRM systems and Excel.
In this role you'll be responsible for collating data and producing reports, preparing project returns, and supporting the wider team with documentation, meetings, and coordination activity to ensure the project runs smoothly and meets deadlines. Training will be provided on internal systems, but you should be confident using IT systems and comfortable working with data and spreadsheets.
Please note: This role is linked to a funded project. We are planning to apply for further funding which, if successful, could extend the work into a new 2-year project from February 2027. However, this is not yet confirmed and will be dependent on funding outcomes later in the current project.
Specifically, in the role you will:
- Undertake any administrative work required to ensure the effective operation of the energy project.
- Assist, coordinate and participate in events and meetings to provide energy advice and guidance.
- Contribute to the development and implementation of community energy champions, throughout the organisation, with partners and the local community.
- Assist with the organisation of community-based events and initiatives, to enhance service provision.
- Process data and information to ensure that systems are accurate and are kept up to date at all times.
- Identify key risks relating to the role in a proactive manner to ensure negative impacts on the project and Income and Inclusion services are minimised.
- Maintain compliance at all times with Hedyn's policies and procedures relating to confidentiality and data protection.
- Prepare reports and statistical analyses of caseload as required and ensure the appropriate project returns are completed in a timely manner.
- Respond proactively to customer complaints.
- Act upon safeguarding concerns immediately and in compliance with the safeguarding policy and procedure.
- Keep abreast of all good practice issues relating to the role.
- In partnership with other partners assist with the delivery and coordination of the Energy Smart People and Communities (ESPC) project.
- Collaborate with colleagues to identify support needs using a risk assessment approach, using the most appropriate internal and external referral routes to ensure needs are met.
- Maintain accurate records using Hedyn systems such as CRM to record customer and outcome data to track the 'distance travelled' by customers.
- Assist in highlighting the success of interventions and identify potential areas of improvement to services.
- Assist in maintaining and monitoring the project plans ensuring adherence to project frameworks and the timely completion of documentation.
- Act as a point of contact for the project and help build a strong relationship with all involved in the project.
- Support the management of allocated budgets for the project in line with appropriate financial regulations and good governance.
- Organise, attend, prepare content, and participate in meetings, recording outcomes and decisions and ensuring follow up on actions.
- Ensure safeguarding policies and procedures are adhered to and actively promote safeguarding across the organisation.
- Publicise and participate in promoting the work of sustaining our customers' tenancies by attending events, publicising via social media, or creating news articles.
- Promote opportunities for customers, stakeholders, and partners to engage and feedback to improve and develop services and enhance communities.
- Adhere to Hedyn's policies and procedures including, safeguarding, health and safety, GDPR and code of conduct.
- Actively promote equality and diversity and inclusion in all activities.
- Undertake other duties, commensurate with the role, as required by the Housing Support Manager to further the organisation and individual objectives and policies.
