Job Description

This role will provide a fully comprehensive administration service to Directors and their team to enable successful delivery of priorities by ensuring targets are met, company processes are complied with, and budget delivered.

Your role will involve

  • Effectively and efficiently manage the Director’s complex diary and inbox, recognising varying levels of urgency and the importance of different stakeholder groups, prioritising as appropriate.
  • Develop and maintain excellent working relationships with the offices of the Executive members, senior stakeholders and other associated areas.
  • Prepare and take minutes, tracking actions on behalf of Director and their team members for the various steering committees and governance groups.
  • Support the Director and team in preparing documents such as PowerPoint presentations, excel spreadsheets, organisation charts through the use of Microsoft/Visio/other applications.
  • Develop and maintain effective and efficient admin systems including document control, archiving and shared files. Continuous improvement approach for all duties and activities.
  • Raise and receipt Purchase Orders on behalf of the team.
  • As a super user of ‘My Heathrow’, provide support to the team where required, including coaching others on how to use the system.
  • Proactively undertake other ad hoc activities to support the Director and team to deliver team objectives.

These Skills Are Essential

  • Proven track record of providing support to Director level in a fast paced and challenging environment.
  • Proven ability to an excellent standard on business software applications (Microsoft word processing, presentation and spreadsheet; internal applications; and other applications).
  • Ability to prioritise a demanding workload and changing deliverables.
  • High level of customer focus and service.
  • Excellent organisational skills and a proven ability to work under pressure to meet tight deadlines.

Working Location

Our Hybrid working approach offers the opportunity for colleagues in some roles to work from home for an average of two days a week, providing the flexibility to work in an agile way whilst ensuring we deliver for the operational needs of Heathrow. Working arrangements vary from team to team and will be confirmed during the recruitment process. You’ll need to be based in the UK and within a commutable distance to Heathrow.
