Our client is a market-leading international logistics provider offering seamless end-to-end import and export solutions. Their UK Head Office is a busy, professional environment where reliability and attention to detail are key.

This is a varied, hands-on position supporting every aspect of the office and its operations, from compliance and HR administration to facilities, training and IT coordination. You’ll be the first point of contact for visitors and a key link between teams, suppliers and external partners.

Key Responsibilities

  • Customer Service: Greet visitors and manage front-of-house duties.
  • Facilities & Fleet Management: Arrange servicing, certifications, insurance, tax, repairs and related compliance checks.
  • Business Insurance & Licensing: Coordinate renewals for fleet, goods in transit, public liability, directors & officers, and other relevant policies.
  • Procurement: Order office and operational supplies with finance approval.
  • Human Resources: Handle day-to-day HR administration in partnership with an outsourced HR provider.
  • Audit & Compliance: Lead site audits and inspections (AEO, CAA, ETSF, MOU & ISO) and carry out regular customs compliance checks.
  • Supplier & Customer Setup: Onboard new suppliers/customers and negotiate contracts.
  • Training: Schedule new-hire and refresher training, including x-ray training monitoring.
  • Health & Safety: Coordinate risk assessments, water testing, fire alarm checks and incident/accident reporting.
  • IT Support: Act as first point of contact for on-site IT issues and liaise with outsourced IT where needed.

Essential

  • GCSEs (A–C) or equivalent in Maths and English.
  • Strong interpersonal and customer service skills.
  • High attention to detail with the ability to multi-task and meet tight deadlines.
  • Flexible, proactive and able to work independently as well as in a team.

Desirable

  • 2+ years’ experience in a similar administrative role.
  • Knowledge of industry-specific accreditations or compliance standards.
