We are seeking a highly organised and proactive Administrator to support daily operational activities. The ideal candidate will have strong administrative experience, be detail-oriented, and possess a good understanding of maintenance systems, compliance requirements, and office processes within a fast-paced environment.
Key Responsibilities
- Manage and process work orders using MAXIMO to ensure timely completion and compliance with KPIs.
- Work with CMO-WANs systems and support maintenance-related workflows.
- Assist with the preparation and compilation of RAMS (Risk Assessments and Method Statements).
- Ensure adherence to Health & Safety regulations, compliance standards, and Heathrow processes and procedures.
- Provide general office administration support, including document control, record keeping, and data management.
- Handle invoicing, database uploads, and system updates accurately and efficiently.
- Monitor and track Planned Preventative Maintenance (PPM) schedules and tasks.
- Communicate effectively with internal teams to ensure smooth operations.
Skills & Experience
- Proven experience in office administration within a similar environment.
- Working knowledge of MAXIMO or similar maintenance management systems.
- Familiarity with CMO-WANs (or similar operational systems).
- Strong understanding of Health & Safety compliance and procedures.
- Experience in compiling and reviewing RAMS documentation.
- Proficient in Microsoft Office 365 (Word, Excel, Outlook, etc.).
- Experience with invoicing systems and database management.
- Knowledge of PPM maintenance processes and KPI-driven environments.
