This role provides essential administrative support to the Legal and Business Assurance team, helping to ensure the smooth and effective delivery of legal, governance and compliance activities across Heathrow. You’ll have a genuine interest in developing your knowledge of legal, company secretariat and compliance matters, with opportunities to learn and grow in these areas. You’ll play an important role in enabling effective collaboration between the Legal and Business Assurance team and colleagues across the business, helping to promote strong governance and risk management practices. We’re looking for someone who is proactive, highly organised and detail-oriented, with a self-motivated approach and a strong willingness to learn. This role is based at the Compass Centre, with a requirement to attend the office a minimum of three days per week.
Responsibilities
- Coordinate meetings end-to-end, including scheduling, preparing and distributing papers, and tracking actions.
- Support document drafting using templates (with supervision) and coordinate approvals and e-signatures in line with governance requirements.
- Maintain and update Heathrow Group Policies, ensuring documents are clear, accessible and aligned to agreed standards.
- Manage team systems and content, including SharePoint sites, governance pages and document control processes, acting as a key contact for IT-related queries.
- Provide administrative support across the team, including onboarding new joiners and secondees, organising team events and assisting with diaries, presentations and reporting.
- Support operational activities such as purchase orders, budget tracking and supplier liaison, while contributing to continuous improvement and broader legal, governance and risk-related tasks.
Qualifications
- Strong organisational, project management and administrative skills, with excellent attention to detail.
- Highly IT literate, with proven proficiency in Microsoft Office and other business systems.
- Able to manage documents efficiently, ensuring compliance with governance and regulatory requirements.
- Demonstrates a proactive, solutions‑focused approach, can prioritise a demanding workload, collaborate effectively across teams, and work under pressure to meet tight deadlines.
Ideally, you’ll also have:
- Previous legal secretarial experience gained within an in-house legal team or a law firm, and or experience of working within a business assurance, compliance or risk management environment.
- Knowledge of legal documents and terminology.
- Strong academic background with relevant degree (or equivalent qualification) or previous administrative experience.
- Experience of working with third party systems such as Land Registry online services and/or Companies House records.
