The Team Administrator supports the effective running of the team by providing administrative, organisational and process support to Senior Managers, team members, steering committees and governance groups, ensuring activities are well-coordinated and delivered efficiently.

Responsibilities

  • Prepare agendas, take minutes, and track actions on behalf of Senior Managers, team members, steering committees and governance groups.
  • Provide administrative and document support, producing PowerPoint packs, Excel spreadsheets, and organisational charts using Microsoft/Visio/Copilot and other applications.
  • Organise meetings and events, preparing agendas, collating, and circulating documents in a timely manner.
  • Develop and maintain effective and efficient admin systems including document control, archiving and shared files, with a continuous improvement approach.
  • Arrange IDs and temporary passes for colleagues and 3rd parties (assume responsibility as authorised signatory on behalf of the team).
  • Raise, track and manage Purchase Orders, liaise with third party suppliers/contacts, and ensure adherence to company policies.
  • Act as a “super user” for systems (e.g. My Heathrow), supporting and coaching others, and proactively undertake ad hoc activities to support colleagues and deliver team objectives.

Qualifications

  • Proven ability on business software applications (Microsoft word processing, presentation and spreadsheet; internal applications; and other applications).
  • Ability to prioritise a demanding workload and changing deliverables.
  • High level of customer focus and service.
  • Excellent organisational skills and a proven ability to work under pressure to meet tight deadlines.
  • Responsive to organisational changes and ability to adapt accordingly.
