Heathcote & Ivory is seeking an enthusiastic, highly organised and detail-oriented NPD Coordinator to join its busy New Product Development team. Working in a fast-paced environment and reporting to the NPD Manager, the role supports the end-to-end development and delivery of new products and reorders, helping to ensure projects move efficiently from concept through to launch. The NPD Coordinator will play a central administrative and coordination role across sampling, artwork approvals, factory communication, project tracking, copy creation and brand presentation updates. This position is integral to keeping projects organised, accurate and on schedule while ensuring effective communication between internal and external teams.
Key Responsibilities
- Sample Management
- Manage and track product samples
- Maintain accurate sample lists and filing systems.
- Prepare samples for meetings, customer presentations, internal reviews and send-outs.
- Manage white samples in the office and assist with mock-up preparation.
- Product Review and Feedback
- Review pre-production and mass production samples against briefs and standards.
- Write clear, accurate development comments and provide prompt feedback to factories.
- Assist with artwork laydown, mock-ups and sample sign-off activity as required.
- Factory and Supplier Communication
- Act as a day-to-day point of contact for factories regarding project queries, reorders and artwork matters.
- Liaise with suppliers, factories and satellite offices to ensure information is communicated clearly and timelines are maintained.
- Notify factories of artwork updates and uploads to FTP or shared systems.
- Respond promptly and professionally to factory questions and requests.
- Artwork and Approval Coordination
- Send and track artwork for approval across compliance, logistics and other internal teams.
- Create and maintain artwork approval folders and ensure documents are correctly filed.
- Triage artwork between teams to ensure feedback and approvals are obtained within agreed timelines.
- Communicate artwork changes and compliance requirements to the designer.
- Project Administration
- Create and update project trackers, critical paths and project administration documents.
- Input and maintain accurate NPD data on SharePoint and other internal systems.
- Add new lines to launch sheets and keep all project information up to date.
- Create and compile development comments and bill of materials documentation where required.
- Copy and Product Information
- Set up and maintain copy documents for new products.
- Keep copy documents updated in line with final approved artwork.
- Update INCI listings and other product information accurately in partnership with relevant internal teams.
- Presentations and General Support
- Maintain internal and external seasonal brand presentations, ensuring they reflect the latest project and launch information.
- Support trade show preparation, set-up and presentation activity when required.
- Provide broader day-to-day administrative support to the NPD team across the development cycle.
Skills, Experience and Qualifications
- Excellent written and verbal communication skills with the ability to escalate if necessary.
- Outstanding organisational skills with strong attention to detail and accuracy.
- Ability to manage multiple tasks and deadlines in a fast-paced FMCG environment while remaining calm under pressure.
- Strong Microsoft Office skills, particularly Excel and PowerPoint.
- Educated to degree level or equivalent experience.
- Friendly, helpful and polite with a positive, can-do attitude.
- A proactive and flexible approach to supporting changing business priorities.
- Commitment to maintaining high standards of accuracy, organisation and presentation.
