About the Role
This role supports the CEO and MD at Hearts & Science day to day, while also helping the wider leadership team and keeping the office running smoothly. It’s a mix of diary and meeting management, organising logistics, handling expenses, and making sure everything is in place for meetings and agency events. Alongside this, the role takes care of general office admin, facilities, and health and safety, as well as supporting onboarding for new starters, travel bookings, and ad‑hoc tasks across teams like People, Finance, IT, and New Business. It’s a central, hands‑on role that requires strong organisation, attention to detail, and the ability to juggle priorities, while contributing positively to the overall office environment and culture.
Key Responsibilities
- Manage diaries and schedule meetings for the CEO, MD and leadership team.
- Organise logistics for meetings, agency events, and client appointments.
- Handle expense reimbursements and maintain accurate financial records.
- Maintain office operations, including general admin tasks, facilities management and health and safety compliance.
- Support onboarding of new hires, including travel arrangements and initial setup.
- Coordinate ad‑hoc tasks across People, Finance, IT and New Business teams.
Benefits
Hybrid working model (three days in the office, two days remote) with standard working hours 9:30 – 17:30 and a flexible core window of 10:30 – 16:30. Employees can adjust start and finish times within the core hours to best fit their personal and professional needs.
