Project & Office Assistant Apprentice

Summary:

The Project & Office Assistant will be required to work closely with the Managing Director, Project Managers and CAD Manager in order to assist across all aspects of the company. Mainly working for the project managers, the role will involve being the key office contact point for all office staff and site labour.

What you\’ll do at work:

Works also to include office administration, filing and general office duties along with the company\’s first point of contact over the telephone. The role requires the person to be confident, well spoken, with good organisation skills, with attention to detail and accuracy and proficient in Mac Preferred or PC and along with good IT skills.

Responsibilities and Duties:

  • Procurement and placing of orders to suppliers and contractors
  • Obtaining quotations and cost analysis
  • Materials specification, costings, material procurement
  • Liaison with suppliers and contractors
  • Organising site setup materials, files, and office paperwork
  • Liaising with labour teams, combined with sourcing hotels and skips and site plant hires
  • Formulating Health and Safety & Risk Assessments contract documents and Pre-contract files & CDM documentation, and site completion operation and maintenance files
  • Perform general office administration as required, including day-to-day operations, equipment and telephone,
  • Conducting research into products
  • Meet with suppliers as required

Skills and Specification:

  • Ability to fully understand and follow oral and written instructions
  • Skills to operate basic office equipment such as printers, computer terminals, facsimile machines, scanners, and telephone systems
  • Conversant in Microsoft Word & Excel, Photoshop and other software applications, ideally on Mac but PC as an alternative
  • Proficiency in the use of Internet browsers for sourcing items as required and being able to email
  • Maintaining the company website and Facebook
  • Good telephone manner
  • Working towards targets and key deadlines
  • Ability to be self-motivated and able to work on their own
  • Reliable and conscientious
