The Media Operations Assistant plays a critical role in overseeing and executing the end-to-end process of commercial media campaign bookings. Sitting within the Operations function, this role ensures all campaign orders – Print, Digital, Events, Accreditation & Global are accurately booked, financially compliant and revenue is in line with commercial expectations.

Main Duties

  • Campaign Bookings & Revenue Capture: Accurately manage the full media booking process ensuring inputting and overseeing all commercial media orders into Adpoint & Salesforce (Print, Digital, Events, Accreditation & Global), ensuring complete, accurate & consistent data entry across all channels. Review and validate all incoming booking requests and ensure they include the correct documentation (IOs/POs), booking details, and are compliant with business rules. Book & Track global media campaigns, ensuring sold currencies, commission rate, and financial inputs are correct and compliant.
  • Finance Coordination & Revenue Recognition: Liaise with Finance to ensure all campaigns are billing-ready and meet internal documentation requirements. Monitor and resolve credit, rebill, and rebooking requests in coordination with Sales and Finance. Chase outstanding IO’s/PO’s and update booking statuses to ensure campaigns are complete for invoicing and revenue recognition.
  • Stakeholder Supports & Troubleshooting: Act as a key point of contact for Sales, Account Directors/Account Managers and all Operation teams on booking issues or campaign clarifications. Collaborate with stakeholders to troubleshoot and resolve booking challenges efficiently. Assist with campaign reporting and trading deal alignment (Barter/Advance Payment Campaigns). Provide booking data insights to support campaign revenue tracking and accuracy. Maintain clean and up-to-date booking records for internal reporting and audit purposes.
  • Process Control & Governance: Uphold rate card compliance, booking policies and commercial terms across all campaigns. Maintain and improve documentation of campaign processes to support training, consistency and operational readiness. Support monthly and quarterly data checks for internal reporting accuracy in collaboration with Finance.

What We Are Looking For

  • Detail-oriented and highly accurate with financial data, documentation, and system inputs.
  • Proven ability to manage high-volume, multi-channel bookings under tight deadlines.
  • Proven ability to partner cross-functionally with Sales, Finance, and Operations.
  • Understanding of media rate cards, discounts and revenue-related compliance.
  • Strives for excellent results and excellent customer service.
  • Effective communicator with a proactive and solutions-driven approach.
  • Excellent time management and prioritisation skills.
  • Collaborative attitude is essential.
  • Flexible, personable attitude; ability to develop excellent professional relationships with all levels of personnel.
