The Events Executive role will deliver events across the Hearst brand portfolio, to create the conditions and experiences to attract consumers and commercial partners.
The Role:
- Provide day-to-day support in the planning and execution of Hearst events, from initial planning to onsite or virtual delivery, with a view to independently managing small in-house events hosted at the House of Hearst office venue.
- Carry out logistical and admin-based pre-event tasks, including packing kit, managing deliveries, uploading guest lists, and collating collateral.
- Assist in delivering sponsorship campaign elements as agreed in client packages.
- Support relationships with suppliers including production, PR, and talent management teams under the guidance of senior team members.
- Assist with budget tracking and invoice reconciliation; update budget templates and support reporting as required.
- Help prepare and distribute briefing documents for internal and external stakeholders including tip sheets.
- Assist in managing on-site logistics and stakeholder support at events.
- Work with editorial teams to coordinate content and assist with speaker and talent logistics.
- Support in sourcing and liaising with suppliers (venues, caterers, AV, photographers, florists etc.) as directed.
- Participate in post-event processes such as inventory checks, supplier payments, evaluations, and meeting support.
- Assist in sourcing goodie bag items and exploring potential brand contra deals.
- Update and maintain internal databases of venues and suppliers.
- Carry out admin support including travel booking, invoice processing, and expenses.
