We are seeking an organised and detail-oriented Administrator to support the migration of facilities and asset data from our existing system into a new CAFM/FM platform. The role will focus on collating, validating, and transferring data to ensure accuracy of statutory, PPM, and asset records across our portfolio.
Key Responsibilities
- Collate and verify facilities management data for system migration
- Extract information from service reports, commissioning documents, O&M manuals, certificates, and asset registers
- Ensure statutory compliance documentation (e.g. PPM, inspections, test certificates) is accurately captured
- Upload and validate asset, contract, and service data within the new FM/CAFM system
- Review data for accuracy, consistency, and completeness prior to migration
- Liaise with internal facilities teams and external service providers to resolve data gaps or discrepancies
- Maintain audit trails, document control, and version management throughout the migration process
- Provide general administrative support linked to facilities and compliance data
Skills and Experience Required
- Proven experience in an administrative or data-focused role
- Strong attention to detail and high levels of accuracy
- Experience handling technical documentation such as service reports or commissioning records (desirable)
- Confident using Excel and digital systems; experience with CAFM or asset management systems is advantageous
- Ability to manage workloads effectively and meet deadlines
- Strong communication and organisational skills

Please note this role is to support a defined project and appointment is not guaranteed beyond the initial contract period.
