We are recruiting for a E-Sign Systems Administrator to join our team.
Main Responsibilities
This role owns the day-to-day configuration, administration and support of Health Net Homecare's e-signature workflows, ensuring prescriptions, clinical forms and other documents are routed, signed and returned reliably across our integrated systems.
The role works closely with the Product Owner and wider Digital Products team to keep e-sign processes running smoothly for clinicians, patients and NHS trust partners, and to resolve issues quickly when they arise.
Key Responsibilities
- Configure and maintain e-signature platform templates, envelopes and signing workflows for prescriptions and clinical documents, including API-based configuration.
- Oversee the transition from the current legacy e-sign system to a modern, API-first platform with a developer toolkit, including migration of templates and workflows and set-up of hierarchied (role-based) administrative access.
- Manage and troubleshoot automated flows connecting the e-sign platform to document management and business systems.
- Diagnose and resolve e-sign flow errors, such as failed sends, callback or webhook failures, API errors, and document mismatches.
- Monitor sign completion and turnaround rates; investigate and raise anomalies or drop-offs to the Product Owner.
- Support onboarding of new NHS trusts and clinicians onto e-sign workflows, including configuring trust-specific templates and routing rules.
- Maintain clear, up-to-date documentation of e-sign configuration, process maps and known issues/fixes.
- Support user acceptance testing and regression testing for new e-sign features and integration changes.
- Work with the Product Owner to help scope and prioritise the e-sign roadmap.
- Help ensure e-sign processes meet clinical governance and audit trail requirements.
- Liaise with e-sign platform vendors and other third parties on support tickets, incidents and API changes.
Essential Skills And Experience
- Experience configuring or administering an e-signature platform (for example Docu Sign, Adobe Sign, or a similar service) including template and API management.
- Hands-on experience with low-code workflow tools (for example Power Automate), including troubleshooting flow errors.
- Comfortable working with APIs and structured data such as JSON, webhooks and error logs.
- A methodical, root-cause approach to troubleshooting technical issues.
- Clear written communication skills, for documentation and stakeholder updates.
- Good organisational skills and ability to manage multiple concurrent workflow issues.
- Experience supporting or leading a system migration, ideally involving API-based platforms, developer toolkits or role-based access administration.
Desirable
- Experience in healthcare, NHS, or another regulated environment.
- Familiarity with document management or OCR tools.
- Experience using Jira and Confluence.
- Awareness of clinical governance or quality frameworks (for example Gx P, ISO 13485, DCB0129/0160).
- What Success Looks Like In The First 6 Months
- Full ownership of e-sign configuration and first-line troubleshooting, reducing day-to-day dependency on the Product Owner.
- A documented, repeatable process for onboarding new trusts and templates onto e-sign.
- A measurable reduction in average resolution time for e-sign flow errors
