We’re growing with an exciting new site opening ahead and we’re looking for an Admissions Coordinator to join our Admissions team on a 12-month maternity cover (fixed‑term), commencing August, and help shape the next chapter of our journey.

About the role

As an Admissions Coordinator, you’ll be one of the first people a potential guest (or their loved one) speaks to when they reach out for help. You’ll respond quickly and professionally to enquiries, build trust through excellent listening and clear communication, and guide each person through the admissions journey, from first contact through to a safe, well‑planned arrival. You’ll also support the wider Admissions team with the admin and coordination that keeps everything moving: accurate CRM/KIPU updates, documentation, logistics, and making sure every detail is in place so guests can start treatment with confidence.

Major Accountabilities

  • Supports the wider team in managing incoming enquiries to drive strong sales and occupancy and achieve admissions KPI’s and the WIG.
  • Ensure integrity of data recorded in CRM to support accurate reporting in relation to enquiries and sales.
  • Nurture leads and deals through all stages of the pipeline.
  • Complete the pre‑admission telephone assessment with prospective guests.
  • Ensure all written communications are grammatically correct and written professionally.
  • Ensure all written communications are considered ‘on brand’ before sending.
  • Demonstrate sound due diligence as part of the pre‑admission process and record information thoroughly and accurately in CRM and KIPU.
  • Set clear expectations with incoming guests around the terms and conditions of admission to Delamere.
  • Undertake administrative tasks such as requesting GP summaries and sending treatment confirmation emails.
  • Ensure logistics pertaining to transport, payments and contractual terms are in place ahead of admission.
  • Work closely with the clinical team and guest liaison to ensure that guests are safely admitted into treatment.
  • Liaise and communicate appropriately and transparently with clinical and operational teams about prospective guests.
  • Update bed tracking system to ensure there is availability of the required room type/date for incoming guests.
  • Oversee, organise and update CRM labels and actions, as well as tracking systems such as the WIP.
  • Lead on organising the alumni pipeline, scheduling appropriate follow up for review chasers and alumni check in calls/emails.

  • Remains focused on maximising occupancy by assisting the Enquiries and Admissions Managers with incoming enquiries.
  • Ability to show an understanding of, and to confidently demonstrate the key values and ethos of Delamere.
  • Ability to demonstrate a commercial focus whilst also maintaining an empathetic approach towards guests.

Experience & Knowledge

  • Experience of working with the healthcare sector;
  • Experience of working within a multidisciplinary team;
  • Experience of commercial processes;
  • Ideally, experience of the admissions process within a residential setting.
